About the position

Adventist Health Reedley is seeking a Practice Administrator for its outpatient medical office. This role is pivotal in managing the daily operations of the medical practice, ensuring that it runs smoothly and efficiently. The Practice Administrator will oversee patient volumes and the number of practices, planning programs and allocating duties to employees accordingly. A significant part of the role involves reviewing medical records to ensure compliance with billing requirements and monitoring activities to ensure that the practice meets its objectives. The administrator will also be responsible for various functions including personnel management, financial oversight, clerical duties, housekeeping, maintenance, and purchasing functions. The Practice Administrator will work closely with the Director of Operations (DOO) to communicate operational opportunities and best practices. They will ensure that the clinics operate in accordance with regulatory requirements and the organization's policies and procedures. This includes implementing and maintaining best practices throughout the assigned clinics. The administrator will also be tasked with ensuring that appropriate revenue management policies and systems are in place to facilitate effective billing and collection processes. Performance reporting structures, including performance scorecards and financial reporting, will be utilized to monitor clinic performance. In addition to operational management, the Practice Administrator will define job responsibilities and performance expectations for all positions within the clinic. They will exercise independent judgment in recruiting, training, coaching, and supervising staff, ensuring that the team is well-equipped to meet the clinic's goals. Other job-related duties may be assigned as necessary, contributing to the overall success of the medical practice.

Responsibilities

  • Manage the daily operations of the medical practice(s) based on patient volumes or number of practices.
  • Plan programs and allocate and assign duties to employees.
  • Review medical records for compliance and billing requirements.
  • Monitor activities and operations to ensure that the practice meets its objectives.
  • Oversee and direct the operations of the assigned clinic(s).
  • Ensure clinics operate in accordance with regulatory requirements and organization's policies and procedures.
  • Communicate operational opportunities and best practices to the Director of Operations (DOO).
  • Implement and maintain best practices throughout the assigned clinic(s).
  • Work with the DOO to ensure appropriate revenue management policies and systems are in place.
  • Utilize performance reporting structures, including performance scorecards and financial reporting.
  • Define job responsibilities, qualifications, and measurable performance expectations for all positions.
  • Recruit, train, coach, supervise, and direct assigned staff.

Requirements

  • Bachelor's Degree or equivalent combination of education/experience: Required
  • Master's Degree: Preferred
  • Five years' technical experience: Preferred
  • One year's leadership experience: Preferred
  • Cardiopulmonary Resuscitation (CPR) or Basic Life Support (BLS OR HS-BLS OR RQIBLS) certification: Preferred
