About the position

The Practice Administrator is responsible for leading and managing the operations of one or more medical practices, including hospital spaces within the Oncology Service Line. This role involves defining the mission, goals, budget, and performance standards for the service line and effectively communicating these to staff. The Practice Administrator must ensure operational efficiency by collaborating with physicians, staff, patients, and external agencies while maintaining compliance with organizational policies and regulatory standards.

Responsibilities

  • Oversees the Practice Manager(s) and Practice Supervisor(s), when applicable.
  • Establishes/implements goals, objectives, policies, procedures, and systems for the medical office and hospital spaces within the Oncology Service Line.
  • Develops, monitors, and analyzes budget and financial information, utilizing resources effectively and economically.
  • Monitors and controls expenditures within the approved budget.
  • Practices effective problem identification and resolution skills for sound decision making.
  • Participates in the quality improvement process and develops a medical office monitoring system to assure quality.
  • Implements efficient systems to enhance patient satisfaction and provider productivity.
  • Determines effective communication methods and defines appropriate lines of authority for the medical office.
  • Uses various communication methods to disseminate information to staff in a timely manner.
  • Develops plans to market the organization to new patient populations and demographic areas.
  • Monitors systems to maintain IT infrastructure.
  • Ensures compliance with legal issues and regulatory agencies.
  • Works with Practice Manager and/or Practice Supervisor to select and hire candidates for different roles in the medical office.
  • Addresses performance and disciplinary issues as necessary.
  • Collaborates with Human Resources on employee relations issues, compensation, and employment policies.
  • Participates in providing opportunities for continuing education and performance improvement for staff.
  • Develops and monitors standards to comply with safety, infection control, and customer relations standards.
  • Ensures compliance with all regulatory agencies governing health care delivery.
  • Responsible for accreditation and re-accreditation of areas within scope.
  • Maintains a professional appearance and a clean, safe environment.
  • Respects patients by recognizing their rights and maintaining confidentiality.
  • Utilizes technology, including specialized software, to maximize productivity.
  • Performs word processing, creates Excel spreadsheets and PowerPoint presentations, and prepares reports.
  • Develops and maintains electronic files as necessary.
  • Prioritizes and manages multiple projects simultaneously, soliciting and compiling supporting materials for projects.
  • Exhibits excellent interpersonal skills and provides customer service, collaborating with all levels of internal leadership and external parties.
  • Maintains professional and technical knowledge by attending educational workshops and participating in professional societies.

Requirements

  • Minimum of four (4) years of medical administration/management experience required.
  • High school diploma or equivalent required.
  • Four-year degree and Master's degree from an accredited institution preferred.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
