About the position

The Practice Assistant role at Holland & Knight involves providing high-quality administrative support to a team of lawyers and professionals. This hybrid position requires effective communication and organizational skills to meet the needs of the firm and its clients. The role includes a variety of tasks such as document management, scheduling, and client interaction, all aimed at ensuring smooth operations within the legal team.

Responsibilities

  • Communicate effectively and professionally with clients, lawyers, and co-workers via email, telephone, and in person.
  • Answer telephone calls, providing responses to routine questions and routing calls appropriately.
  • Arrange conference calls and greet clients.
  • Create, draft, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Draft routine business correspondence, forms, and documents under supervision.
  • Schedule domestic and foreign travel through the firm travel system.
  • Prepare, organize, and process reimbursements, invoices, and check requests in a timely manner.
  • Collect and prepare information for conflict checks, open new client matters, and draft engagement letters.
  • Learn and apply client-specific billing guidelines to invoices.
  • Open, prioritize, and distribute mail; coordinate mailings, deliveries, and copying, scanning, and printing.
  • Enter and manage work requests from lawyers in the firm's workflow tool.
  • Perform routine electronic and paper filing in an organized manner.
  • Assist lawyers with time entry, billing, and collection as needed.
  • Produce a high volume of work assignments accurately and timely.
  • Perform clerical duties for non-legal departments as needed.
  • Complete special projects and duties as assigned.

Requirements

  • Advanced knowledge of Microsoft Office Suite and Adobe.
  • Experience with document management systems and electronic signature software.
  • Proficiency in core legal administrative assistant functions and advanced technical skills.
  • Ability to thrive in a fast-paced environment and coordinate multiple tasks.
  • Superb attention to detail, grammar, and punctuation.
  • Ability to work independently with little supervision.
  • Effective interpersonal and communication skills.
  • Strong writing and proofing skills.
  • Strong work ethic and commitment to confidentiality.
  • Ability to lift and carry up to 30 pounds.
  • Bachelor's degree preferred.
  • 4 to 5 years of experience supporting lawyers and paralegals.
