About the position

The Practice Manager for the Plastic Surgery Clinic at UTHealth Houston is responsible for overseeing all administrative, managerial, clinical, and clerical functions necessary for the effective operation of the clinic. This role is pivotal in ensuring that high-quality patient care is delivered consistently while managing the clinic's business operations efficiently. The Practice Manager will coordinate with various stakeholders, including building management, to address facility needs and maintain compliance with HIPAA and OSHA regulations. The position requires a proactive approach to identifying areas for improvement in patient care and operational efficiency, as well as handling patient complaints and quality assurance issues. In addition to clinical operations, the Practice Manager will be responsible for financial management, including preparing the annual budget, monitoring budget variances, and managing daily business operations such as purchasing and marketing. This role also involves human resource management, ensuring that staff are adequately trained and that performance evaluations and salary planning are conducted effectively. The Practice Manager will produce reports and correspondence as directed by physicians and department administration, contributing to the overall success and profitability of the clinic. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a solid background in clinic management, particularly in a surgical practice. The position is full-time, with a Monday to Friday schedule, and offers a supportive work environment focused on employee well-being and professional development.

Responsibilities

  • Manage and coordinate all administrative, managerial, clinical, and clerical functions required for the operation of the clinic.
  • Ensure high quality patient care is provided.
  • Act as the primary contact for facility building needs, interacting with building management.
  • Maintain confidentiality per HIPAA guidelines regarding patient information.
  • Make recommendations to increase efficiency, decrease costs, or improve daily operations.
  • Develop and implement a cost-effective internal operations system to handle patient volume and required documentation for regulatory agencies.
  • Maintain an environment that complies with OSHA regulations and employee safety.
  • Handle patient complaints and review quality assurance information relating to practice and patient care issues.
  • Resolve any operational issues that may arise.
  • Monitor patient volumes, quality of care, and performance of staff to identify areas for improvement.
  • Maintain clinical provider appointment schedules effectively utilizing personnel, space, and equipment.
  • Oversee all clinic facilities and equipment management, ensuring a clean and safe environment for clinical inspections by regulatory agencies.
  • Manage and coordinate daily and monthly clinical scheduling IDX templates for each provider.

Requirements

  • Bachelor's degree or equivalent experience in lieu of education.
  • Five years of experience in an outpatient clinic setting or healthcare administrative setting, with the possibility of substituting required experience with equivalent years of education beyond the minimum education requirement.
  • Proficient with Microsoft Office and EHR systems.
  • Excellent written and verbal communication skills.
