About the position

The Practice Operations Manager is responsible for overseeing the daily operations of multi-site medical offices, managing a team of 15 to 30 employees. This role involves coordinating clinic operations, improving processes, and ensuring efficient medical care delivery. The manager will work closely with various stakeholders, including physicians and other managers, to maintain service levels and enhance patient experience.

Responsibilities

  • Supervise office staff of 15 - 30 employees at multi-site medical offices.
  • Direct, coordinate, and manage all practice functions including schedules and clinic operations.
  • Partner with other Practice Operations Managers to coordinate resources across offices.
  • Assist Senior Manager of Hospital Operations with process improvement and conflict resolution.
  • Collaborate with Human Resource Manager on staffing needs and employee relations.
  • Monitor key metrics related to office flow and patient experience.
  • Manage inventory of office and clinic supplies and partner with finance on supply chain.
  • Conduct regular meetings with office supervisors and front-line staff.
  • Ensure compliance with company policies and address issues as they arise.
  • Manage service recovery and patient complaints in partnership with the Patient Experience Team.
  • Monitor providers' schedules for efficiency.
  • Provide education and coaching support to staff.
  • Conduct 90-day and annual evaluations for direct reports.
  • Attend office and manager meetings, training, and in-services as required.
  • Maintain office equipment and schedule service calls as needed.
  • Ensure confidentiality of patient and personnel information according to HIPAA guidelines.

Requirements

  • Bachelor's degree in business or related field or equivalent experience.
  • Master's degree preferred.
  • 1+ years' experience working in the medical field (office, clinical, or hospital) preferred.
  • At least 1+ years of full-time management experience with direct reports.
  • Extensive knowledge of Microsoft Excel and using reports to problem solve and track productivity.
  • Ability to create presentations using Microsoft PowerPoint.
  • Strong communication skills and ability to build relationships.

  • Familiarity with insurance coverage and policies of the corporation.
  • Knowledge of medical terminology.
  • Knowledge of HIPAA regulations.
  • Ability to learn and perform all job responsibilities of office employees in the event of an absence.
