About the position

The Practice Supervisor at Rowan-Virtua Family Medicine in Hammonton is responsible for directing the non-physician operations of the outpatient office. This role involves coordinating with physicians and administrative leaders to ensure high-quality patient care and compliance with university policies. Key responsibilities include managing staff, overseeing billing procedures, and ensuring efficient office operations.

Responsibilities

  • Supervises daily operations of the site and manages personnel activities.
  • Maintains time and attendance records for staff and schedules vacations.
  • Acts as a back-up to the Practice Manager in emergencies.
  • Plans and schedules work to maximize resource utilization within budget.
  • Makes recommendations regarding personnel management including hiring and firing.
  • Trains, supervises, and evaluates clinical staff performance.
  • Prepares daily staff assignments to ensure skill maintenance.
  • Evaluates patient flow and adjusts staffing to improve efficiency.
  • Resolves conflicts among medical staff and prepares biweekly payroll.
  • Monitors staff performance to maintain a customer-friendly environment.
  • Ensures completion of daily assignments by staff before leaving.
  • Reviews staff attendance for compliance with policies on a monthly basis.
  • Performs front office responsibilities as needed.
  • Monitors compliance with regulations and ensures proper sterilization procedures.
  • Ensures medications are stored properly and access is restricted to authorized personnel.
  • Maintains a professional and orderly clinical office environment.
  • Trains staff on triaging patient phone calls and results.
  • Works with providers to ensure patient management protocols are available.
  • Defines clinical staff work to maximize resource utilization within budget.
  • Acts as a liaison with local hospitals to ensure adherence to processes.
  • Recommends new departmental policies to maximize efficiency and patient satisfaction.
  • Maintains inventory and orders supplies and equipment responsibly.
  • Demonstrates knowledge of scheduling, billing, and electronic medical records systems.
  • Runs compliance reports and oversees front desk audits with billing office.
  • Generates monthly reports and takes necessary follow-up actions.
  • Maintains purchase orders and ensures funds are available for expenses.
  • Serves as primary contact for security and answering services.
  • Coordinates maintenance and repairs to ensure a pleasant office appearance.
  • Maintains records in accordance with regulations and policies.
  • Reviews physician schedules regularly to resolve discrepancies.
  • Coordinates services such as maintenance and supplies.

Requirements

  • Bachelor's degree in a health-related field.
  • Two years of supervisory and operations management experience.
  • Ability to work evenings and Saturdays as needed.
  • Excellent communication and organizational skills.
  • Ability to multitask and be flexible.
  • Knowledge of Windows-based programs is required.
  • Knowledge of insurance plans is preferred.
