About the position

As a Prescriber Medical Administrative Assistant Team Lead at Northeast Health Services, you will play a vital role in supporting both clients and team members within a fast-paced clinical environment. Your responsibilities will include managing client communications, assisting with administrative tasks, and providing training and mentorship to new team members. This position is essential for ensuring high-quality service delivery and adherence to company policies, particularly in the context of mental health care.

Responsibilities

  • Answer phones and take clients' calls, providing professional and accurate responses to their questions and concerns.
  • Guide clients through troubleshooting for telehealth appointments.
  • Call insurance for prior authorization and copay information.
  • Assist providers with administrative tasks.
  • Answer general questions about the practice and services provided.
  • Coordinate care between clients and providers.
  • Schedule client appointments and call in prescriptions to the pharmacy as needed.
  • Collaborate with team members to provide excellent customer service.
  • Help train new team members as needed.
  • Prepare client files for providers.
  • Provide overall psychiatric provider and site support in conjunction with Site Coordinators.
  • Manage the medication logbook and download prescription monitoring reports daily for review.
  • Support therapists and psychiatric providers in managing waitlists.
  • Maintain a professional dress code at all times.
  • Coordinate coverage when short-staffed.
  • Lead and facilitate training sessions for new Prescriber Medical Administrative Assistants (PMAAs).
  • Provide ongoing coaching and mentorship to new PMAAs.
  • Collaborate with departmental leaders to identify training needs and develop onboarding plans for new PMAA hires.

Requirements

  • High school diploma or equivalent.
  • Excellent communication skills (written and verbal).
  • Ability to work well with a team, especially in stressful situations.
  • Patient and empathetic attitude, adaptable and flexible.
  • Strong time management skills, detail-oriented, and organizational skills.
  • Computer skills, familiarity with Google Drive.
  • Familiarity with complex or multi-line phone systems.

Nice-to-haves

  • Experience in a mental health setting.
  • Previous leadership or training experience.
