The Senior Clerk position is designed to perform moderately complex secretarial and office duties under the general direction of a principal clerk, head clerk, or an administrative employee. This role requires a proactive approach and independent judgment in applying prescribed policies, procedures, and methods. The Senior Clerk will be responsible for a variety of tasks that support the efficient operation of the office, ensuring that all duties are performed accurately and in a timely manner. The position emphasizes the importance of maintaining confidentiality, particularly regarding student information, and requires a high level of organization and attention to detail. Key responsibilities include the immediate filing of documents and letters, sorting files, answering phones, and providing accurate information to callers. The Senior Clerk will manage the Individualized Education Program (IEP) process using a computerized program, send student files to appropriate agencies and parents, and oversee the management of the "past due" system, which includes sending necessary letters to parents and agencies. Additionally, the role involves completing data reporting as required by the Department of Elementary and Secondary Education (DESE), copying and sending files to relevant personnel and agencies, and maintaining communication with school personnel regarding IEPs and file processing. The Senior Clerk will also be responsible for organizing and maintaining the filing system and computerized IEP program, typing and proofreading letters and documents, and coordinating translation and interpreter services for the Office of Student Services through external agencies. The position requires the ability to stay calm in a busy, high-pressure environment and to lift boxes of files as needed.
