About the position

The Principal Secretary III at Tokay High School plays a crucial role in the administrative operations of the school. This position involves organizing, coordinating, scheduling, and performing a wide variety of administrative office activities. The Principal Secretary serves as the secretary to the Principal of a comprehensive high school, facilitating communication between administrators, district and site personnel, parents, students, and the general public. This role is essential in relieving the Principal of various technical and administrative details, allowing for a more efficient school environment. Additionally, the Principal Secretary is responsible for training and providing work direction to student assistants and other assigned personnel. In this position, the Principal Secretary will perform a range of secretarial duties to assist the Principal with routine administrative matters. This includes independently composing letters, memoranda, agendas, handbooks, reports, and other materials. The role requires research and compilation of reports, newsletters, publications, manuals, and documents, ensuring that all materials are complete, accurate, and compliant with applicable rules and regulations. The Principal Secretary will also organize and coordinate various clerical functions, prioritize tasks, and ensure that all duties are completed efficiently and effectively within established timelines. Financial record-keeping is another critical aspect of this role, involving the management of district accounting activities related to student accounts, purchase orders, site budgets, and more. The Principal Secretary will communicate with various personnel to coordinate school operations, resolve conflicts, and provide information to students, staff, and the public regarding district policies and school procedures. This position also involves training and directing clerical personnel and student assistants, ensuring compliance with established procedures, and maintaining accurate fiscal records. The Principal Secretary will operate various office equipment and may administer basic first aid to students as needed.

Responsibilities

  • Perform secretarial duties for the Principal to assist with routine administrative matters.
  • Independently compose letters, memoranda, agendas, handbooks, reports, and other materials.
  • Research, collect, compile, and edit reports, newsletters, publications, manuals, and documents.
  • Review and check documents for completeness, accuracy, and compliance with applicable rules and regulations.
  • Organize and coordinate a wide variety of clerical and office functions and activities.
  • Prioritize and schedule duties and assignments to assure efficiency and effectiveness.
  • Perform financial record-keeping operations related to District accounting activities.
  • Communicate with site and District personnel to coordinate school operations and resolve conflicts.
  • Provide information and assistance related to District policies and school procedures to students, staff, and the public.
  • Receive visitors and screen telephone calls and complaints; exercise independent judgment in resolving routine matters.
  • Train and provide work direction to clerical personnel and student assistants.
  • Organize budget and financial material to maintain accurate fiscal records.
  • Type various materials from rough drafts or verbal instructions.
  • Communicate with District Office to coordinate substitute teachers.
  • Process certificated and classified payroll, maintaining accurate records.
  • Lead the activities of the office staff, providing training and technical leadership.
  • Maintain school calendar and coordinate school events as requested.
  • Operate a variety of office equipment including computers and calculators.
  • Administer basic first aid to injured students within guidelines of District policy.

Requirements

  • High school diploma or equivalent.
  • In increasingly responsible clerical experience involving frequent contact with the public and record keeping experience.
  • Typing certificate for 55 words net per minute from clear copy.
  • Valid Red Cross First Aid Certificate.
