About the position

The Principal's Secretary plays a crucial role in supporting the principal and the school staff by providing comprehensive secretarial services. This position involves establishing and maintaining organized files for the principal and the school office, ensuring that all documentation is easily accessible and up-to-date. The secretary is responsible for maintaining the online student database and managing Infinite Campus files, which are essential for tracking student information and academic progress. Daily interactions with parents, volunteers, visitors, students, and staff are a key part of the role, requiring a positive and professional demeanor at all times. In addition to administrative tasks, the Principal's Secretary supervises students in the office area, ensuring a safe and orderly environment. The role also includes preparing necessary district and state reports, providing backup assistance for the health clinic, and scheduling busing for field trips. The secretary oversees the time clock for new and existing staff, managing and approving time entries to ensure accurate payroll processing. Maintaining the building calendar and schedule for various groups using the facility is also part of the job, along with handling paperwork related to bookkeeping, payroll, fee collection, purchasing, substitute teachers, data processing, transportation, student records, and Free/Reduced lunch programs. The Principal's Secretary is also tasked with preparing and editing the school newsletter, ordering supplies for all staff, and performing other duties as assigned. This position requires a high level of organization, the ability to prioritize tasks, and a willingness to take on responsibilities without direct supervision. The secretary must demonstrate proficiency in typing and other office skills, possess good oral and written communication skills, and be capable of representing the school in a professional manner.

Responsibilities

  • Provide secretarial services to the principal and staff.
  • Establish and maintain files for the principal and school office.
  • Maintain online student database and Infinite Campus files.
  • Interact positively on a daily basis with parents, volunteers, visitors, students, and staff.
  • Supervise students in the office area.
  • Prepare necessary district and state reports.
  • Provide backup assistance for the health clinic.
  • Schedule busing for field trips.
  • Oversee time clock for new and existing staff, managing and approving entries.
  • Maintain building calendar in Google.
  • Maintain building schedule for other groups using the facility.
  • Handle paperwork involved with bookkeeping, payroll, fee collection, purchasing, substitute teachers, data processing, transportation, student records, and Free/Reduced lunch.
  • Prepare and act as editor for school newsletter.
  • Order supplies for all staff.
  • Perform other duties as assigned.

Requirements

  • Knowledge in the operation of computers including word processing, database, spreadsheet applications, and e-mail.
  • Knowledge of or willingness to learn BSO ordering system and Infinite Campus.
  • Good oral and written communication skills.
  • Ability to prioritize, organize, and initiate responsibility.
  • Successful experience in a responsible secretarial position with experience in working with large numbers of students, parents, and staff.
  • Ability to work without supervision.
  • Cross training in health secretary responsibilities.
  • Knowledge of office machines such as fax, scanner, and copy machine.
  • Polite, tactful, and efficient telephone skills.
  • Demonstrate proficiency in typing and other office skills.
  • Ability to work under pressure with frequent interruptions.
  • Willingness to assume responsibility.
  • Ability to work with staff, students, and the public.
  • Capable of representing the school in a professional manner, including confidentiality and communication skills.
