About the position

The Private Events Coordinator is responsible for planning, organizing, and executing various events, ensuring that all aspects run smoothly and meet client expectations. This role requires excellent communication skills, strong organizational abilities, and a passion for delivering exceptional guest experiences.

Responsibilities

  • Collaborate with clients to understand their event objectives, preferences, and budget constraints.
  • Develop detailed event plans, including timelines, logistics, and resource allocation.
  • Manage vendor relationships and negotiate contracts for services such as catering, entertainment, and venue rentals.
  • Oversee the setup and breakdown of events, ensuring all elements are in place according to the client's specifications.
  • Coordinate guest services during events to ensure a high level of satisfaction.
  • Monitor event budgets and expenses to maintain financial control throughout the planning process.
  • Communicate effectively with team members, vendors, and clients to ensure seamless execution of events.
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.

Requirements

  • Proven experience in event planning or coordination within the hospitality or restaurant industry is preferred.
  • Strong organizational skills with the ability to manage multiple projects simultaneously while meeting deadlines.
  • Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
  • Ability to communicate clearly and professionally with clients, vendors, and team members.
  • Experience in budgeting and financial management related to event planning is advantageous.
  • Familiarity with banquet services or guest services will be considered a plus.
