About the position

The Legal Office Administrator at ProBAR is responsible for ensuring the efficient and effective operations of the assigned office function, which includes budget oversight and management. This role provides principal support for the administration of the entity and its director, playing a crucial part in the overall functioning of the Legal Department. The administrator will coordinate and direct various administrative support functions, routinely handling confidential information related to the department's operations and personnel. This position requires a high level of attention to detail and the ability to monitor project statuses, providing senior leaders with updates and recommendations for corrective actions as necessary. In addition to administrative duties, the Legal Office Administrator may monitor time and attendance for the department, offering recommendations on staffing coverage to meet operational requirements. The role may also involve leading other nonexempt employees by assigning work, tracking work status, and providing performance feedback. Familiarity with conducting virtual meetings and training using software such as Zoom and Teams is essential. The administrator will also be responsible for performing other related duties as required, contributing to the overall success of the Legal Department. This position is based in Houston, TX, and requires travel to off-site work locations, particularly care provider facilities that house unaccompanied children. The administrator will provide legal services in these settings, necessitating a background check in accordance with federal regulations. Responsibilities

  • Coordinate and direct the administrative support functions for the Legal Department.

Requirements

  • Possession of an associate degree or higher in business administration or a related field.
  • At least three years' experience providing administrative support in a business setting.
  • Strong attention to detail in completing tasks.
  • Strong oral and written communication skills.
  • Strong interpersonal skills with the ability to communicate with tact and safeguard confidential information.
  • Intermediate skill level in Microsoft Word and Excel.
  • Reliable internet and phone connection.
  • Reliable transportation for travel to off-site work locations.

Nice-to-haves

  • Possession of a bachelor's degree from an accredited college or university.
  • Experience functioning as a lead worker/supervisor of administrative support staff.
  • Intermediate skill level in Microsoft PowerPoint.
  • Experience working with Microsoft SharePoint or intranet sites.
