About the position

The Procurement Officer at the Siebel School of Computing and Data Science is responsible for managing purchasing transactions and advising faculty and staff on procurement procedures. This role involves ensuring compliance with university policies, developing efficient purchasing processes, and maintaining vendor relationships to support the school's operational needs.

Responsibilities

  • Manage and execute purchasing transactions for the school, including Requisitions for Purchase, Purchase Orders, Requests for Price, and Purchasing Card (P-Card) orders.
  • Train school faculty and staff on purchasing policies and develop school protocol in relation to purchasing regulations.
  • Process competitive bid and sole-source purchases, collaborating with the Assistant Director of Finance and Director of Administration and Operations.
  • Gather price quotes for comparison and analysis, ensuring correct shipping instructions for each order.
  • Maintain vendor lists and utilize campus preferred vendors to assure best price and availability of items.
  • Follow up on partial shipments, back orders, and unfilled orders to determine status and expedite delivery.
  • Ensure timely payment for goods and services by following up on unpaid invoices with Payables and Purchasing.
  • Develop and update purchasing processes to create efficiencies within the school.
  • Ensure compliance with state law and university policy regarding acceptable purchasing practices.
  • Administer and monitor purchasing contracts.

Requirements

  • One year of work experience performing duties comparable to those of a Procurement Officer Assistant or in positions of comparable responsibility, with at least six months of actual work experience.
  • College credit for coursework in any field, with specific semester hours translating to months of experience.
