About the position

As a Product Tax Analyst at Southern Glazer's Wine & Spirits, you will play a crucial role in providing accounting support to supervisors and managers within the accounting department. Your primary responsibilities will include entering daily worksheets into the general ledger system, ensuring that all files are complete and well-maintained, and performing various clerical and routine accounting tasks that support the operational unit. This position is essential for maintaining the financial integrity of the organization and ensuring compliance with accounting standards and regulations. You will be responsible for compiling and maintaining commercial insurance claims and employee expenses, as well as carrying out general administrative functions. This includes opening and distributing incoming mail, assisting in accounts receivables and collections, and processing accounts payable. You will prepare daily bank deposits for trade and retail invoices, enter cash receipts into the computer system, and process checks on-demand, including advances, loans, invoices, and expense checks. Additionally, you will assist with new vendor setups and maintain files related to incoming checks and employee vendor information. Your role will also involve preparing and filing reports of commercial insurance accidents, maintaining commercial liability certificates, and updating salesmen’s monthly budgets and overtime reports. You will track budgets to limit expenditures, capture and verify bill back expenses, and maintain general accounting department files. This position requires attention to detail and the ability to manage multiple tasks efficiently while ensuring accuracy in all financial documentation.

Responsibilities

  • Compile and maintain commercial insurance claims and employee expenses.
  • Open and distribute all incoming mail.
  • Assist in Accounts Receivables and collections, as well as Accounts Payable processing.
  • Prepare daily bank deposits for trade and retail invoices.
  • Data entry for cash receipts for those deposits into the computer system.
  • Process, print, and release checks on-demand including advances, loans, invoices, and expense checks.
  • Assist with new vendor setup, including faxing, emailing, and submitting W-9 forms to vendors.
  • Maintain files of all incoming checks received.
  • Maintain employee vendor information as it relates to employee expenses.
  • Prepare and file reports of commercial insurance accidents.
  • Maintain commercial liability certificates.
  • Maintain and update salesman’s monthly budget for the entire state.
  • Maintain and update overtime report for the state.
  • Prepare all expense reimbursement vouchers for entry into the computer system.
  • Track budgets in order to limit expenditures.
  • Capture, verify and forward all bill back expenses to Assistant Accounting Manager.
  • Data entry of all samples and salesperson bottle purchases into a spreadsheet.
  • Prepare and mail bill back invoices for these expenses and maintain wine lists for quarterly bill backs.
  • Maintain general accounting department and employee expense reimbursement files, plus labels for all other accounting file folders.
  • Verify and investigate all information on employee expense reimbursement forms.
  • Maintain mailing labels for vendors and employees as well as for the accounting department, including overnight services.
  • Maintain and replenish all accounting department supplies for employees, copier, and facsimile.
  • Perform other job-related duties as assigned.

Requirements

  • High school diploma or equivalency plus 2 years of experience.
  • Knowledge of Generally Accepted Accounting Principles (GAAP), federal regulatory guidelines, and organizational objectives.
