About the position

The Production Administrative Specialist plays a crucial role in providing high-level administrative support to the production and leadership teams. This position acts as a central point of contact for coordinating operations, production, customer service, and administrative functions, ensuring efficient order processing, inventory management, and customer support. The role requires strong communication skills, attention to detail, and proficiency in ERP/inventory systems, along with the ability to collaborate across multiple functions to enhance operational efficiency and customer satisfaction.

Responsibilities

  • Communicate with Operations/Sales/Engineering/Purchasing on the status of all orders.
  • Facilitate the daily order picking for the warehouse team.
  • Enter and maintain Bills of Materials (BOMs) in the ERP system according to product specifications and engineering guidelines.
  • Support the manufacturing team by providing accurate BOM data for production planning and inventory management.
  • Oversee lay flat hose inventory.
  • Claim production daily for billing to process.
  • Monitor visitor access and maintain security awareness while greeting people who enter the organization and direct them accordingly.
  • Screen and respond to incoming calls, emails, and correspondence.
  • Provide general administrative and clerical support-contributing to the team effort by accomplishing additional assignments as needed.
  • Handle special projects and assignments as requested by the leadership team.
  • Assist with delivery and pick-up of orders, including both inbound and outbound trucking needs by working closely with the Shipping/Warehouse Department.
  • Maintain professionalism, diplomacy, sensitivity, and tact to represent the company in a positive manner.
  • Provide timely and accurate assistance to dealer accounts, including quoting and quote tracking/follow-up.
  • Respond to customer inquiries regarding product movement and refer to proper channels, including notification of a shipment delay.
  • Follow company safety procedures.
  • Align to company mission and core values.
  • Other duties as assigned.

Requirements

  • Minimum 2-5 years of experience in business administration or customer service; scheduling and logistics for a manufacturing environment is preferred.
  • Type minimum 50+ WPM preferred.
  • Superb organizational and communication skills and attention to detail.
  • Superb computer skills including MS Word, PowerPoint, Excel, SharePoint, and Outlook.
  • Logistics experience preferred.
  • Outstanding customer service mentality.
  • Ability to multi-task and adapt to changing priorities in a fast-paced work environment.
  • Must be highly motivated and be able to work both independently and in a team environment.
