About the position

The Production Manager oversees the support and delivery of audit and tax client services, procurement of office supplies, and other in-office operation needs. This role is crucial in ensuring that the operations team functions efficiently and effectively. The Manager supervises two operations team members, plays a key role in their development, creates enthusiasm and camaraderie within the team, and serves as the spokesperson of the Production Team to the Firm. This individual must possess the ability to prioritize tasks under strict deadlines, be extremely detail-oriented, and communicate effectively. The Manager is expected to be a quick learner and tech-savvy to oversee the wide range of tasks required in this position. Essential duties and responsibilities include management of client deliverables, leading the annual engagement letter and tax organizer process, coordinating tax season preparation, overseeing the collating and delivery of tax returns, and managing the final production of client financial statements and other documents. The Manager coordinates workflow in Production, assigns tasks to production staff, monitors the document tracking system for timely delivery of client deliverables, and communicates deadlines and workload conflicts to the Tax Principal to ensure timely completion of work. Additionally, the Manager assists production staff with questions, proofreads work to ensure accuracy, maintains a list of summer projects to ensure year-round tasks for production staff, provides training and updates, generates reports from various programs to track task status, and reconciles invoices. The role also involves participating in the interview process for new production staff, approving PTO requests, and ensuring proper coverage for the team.

Responsibilities

  • Oversee the support and delivery of audit and tax client services.

  • Serve as the spokesperson of the Production Team to the Firm.
  • Lead the annual engagement letter and tax organizer process.
  • Coordinate tax season preparation, including researching new procedures.
  • Oversee the collating and delivery of tax returns.
  • Manage the final production of client financial statements and other documents.
  • Coordinate workflow in Production and assign tasks to production staff.
  • Monitor document tracking system for timely delivery of client deliverables.
  • Communicate deadlines and workload conflicts to Tax Principal.
  • E-file tax returns and follow up to resolve rejection issues.
  • E-file forms W3/W2 and 1096/1099 and follow up as needed.
  • Assist production staff with questions and proofread work for accuracy.
  • Maintain a list of summer projects for year-round tasks.
  • Provide training and updates to production staff.
  • Generate reports to track task status and distribute tax return reports to partners.
  • Order IRS and Accountability payroll forms.
  • Reconcile invoices and submit to Controller.
  • Assist with the interview process for new production staff and approve PTO requests.

Requirements

  • High school diploma required; Bachelor's degree in Business Administration or related field preferred.
  • At least five years of related experience required in managing people and projects.
  • CPA, law firm or other professional services experience required.
  • High proficiency with MS Office Programs including Outlook, Word, Excel, PDF and PDF tools.
  • Excellent proofreading, grammar, organizational skills, and attention to detail.
  • Ability to manage multiple tasks, prioritize and adjust priorities as necessary to meet deadlines.
  • Adept at protecting confidential and proprietary information.
  • Strong interpersonal skills and organization skills.
  • Friendly team player who is helpful, respectful, outgoing, and positive.
