About the position

As a Production Manager for Live Experiences at The Special Event Company, your primary purpose is to create impactful experiences that inspire and engage audiences. You will be responsible for overseeing the technical production needs across a diverse range of events, ensuring that each project is executed flawlessly from conception to completion. Your role will involve developing tailored technical solutions that align with the creative vision of each event while meeting client requirements and project specifications. You will leverage your technical expertise to create engaging experiences and ensure seamless show production. In this position, you will attend site visits and production meetings, manage the technical budget for each project, and maintain accurate documentation throughout the project lifecycle. You will be tasked with creating CAD drawings using software such as Vectorworks or AutoCAD, coordinating various technical elements including lighting, sound, video, and staging, and managing both internal and external teams to ensure clear communication and understanding of project goals. Your proactive approach will be essential in managing labor requirements, vendor relationships, and ensuring compliance with safety protocols. Additionally, you will conduct post-event reconciliations, including budget assessments and feedback collection, while also researching new technologies to enhance live events. This role requires a blend of creativity, technical knowledge, and strong communication skills, as you will be the key point of contact for all technical aspects of the events you manage. Your ability to juggle multiple projects and maintain high standards of production will be critical to your success in this role.

Responsibilities

  • Oversee technical production needs across the entire book of business and act as the lead on key projects throughout the year.
  • Develop the right technical solution for each project based on the proposed creative, client needs, and project requirements.
  • Apply the right technical solution to create engaging experiences and seamless show production.
  • Attend site visits and production meetings as required.
  • Own and manage the technical budget for each project, scoping out requirements, obtaining costs from vendors, negotiating rates, and managing all costs to deliver the project.
  • Carefully plan out all technical production to ensure appropriateness for project requirements.
  • Create accurate CAD drawings for projects using Vectorworks, AutoCAD, or similar software.
  • Manage and direct internal and external teams to support the technical delivery of a project, ensuring clear communication and understanding of the project at all times.
  • Work with project teams to establish all project timelines and deliverables, ensuring these are always met.
  • Manage the pre-planning stages of the projects, ensuring accurate and up-to-date documentation at all times including production schedules, CAD drawings, equipment specifications, logistics schedules, and run of show.
  • Maintain high standards of production for all events.
  • Coordinate lighting, sound, video, set and staging, electrical infrastructure, communications, and any other technical equipment necessary for events.
  • Proactively manage labor requirements on an event-by-event basis, ensuring the correct skills and experience are managed in line with project budgets.
  • Manage freelance partners, contractors, and labor throughout all stages of project delivery, ensuring clear roles and responsibilities and communication.
  • Manage vendor relationships, including sourcing new vendors, establishing service level agreements, negotiating rates and payment terms, and managing overall service and quality delivered.
  • Ensure correct licensing, safety, and emergency protocols are in place and any permissions and/or certifications are required.
  • Conduct post-event reconciliation including budgets, show reports, de-briefs, learnings, and vendor feedback.
  • Research new technologies that can be incorporated into live events.

Requirements

  • Five years in technical delivery, working with either an agency or a production company.
  • Experience in a variety of types of events including conferences, concerts, hospitality experiences, and brand experiences.
  • Experience with professional stage machinery, electrical, sound, lighting communications, and audio-visual techniques.
  • Experience in designing and drawing in both 2D and 3D.
  • Proficiency in Vectorworks or AutoCAD software.
  • Knowledge of streaming and broadcast techniques.
  • Excellent communication skills.
  • Ability to travel within the US or internationally.

Nice-to-haves

  • Familiarity with event marketing and promotion strategies.
  • Knowledge of sustainability practices in event production.
