About the position

The Executive Assistant position is designed to provide comprehensive support to the executive team in a financial firm located in San Diego. The role involves managing schedules, coordinating meetings, and handling confidential documents, while also facilitating communication and travel arrangements. The ideal candidate will be professional, personable, and detail-oriented, capable of multitasking in a fast-paced environment.

Responsibilities

  • Support the executive team by managing schedules and confirming appointments.
  • Maintain calendars and contacts for the executive team.
  • Coordinate projects, meetings, and conference logistics.
  • Provide personal assistance activities as needed.
  • Plan and organize events, including meetings and seasonal employee events.
  • Facilitate phone and email communications, routing client work to appropriate personnel.
  • Follow up on outstanding client actions and manage future needed items for clients.
  • Prepare and handle highly confidential documents and reports, including letters and expense reports.
  • Coordinate and handle travel arrangements and itineraries.
  • Serve as backup for front desk and other administrative staff as needed.
  • Perform regular project work and additional duties as assigned.

Requirements

  • Five or more years of equivalent work-related experience providing executive administrative support to top management.
  • Highly proficient in MS-Word, Outlook, Excel, and PowerPoint.
  • Exceptional phone, communication, and interpersonal skills.
  • Superior English language skills, including grammar, spelling, reading, writing, and speaking.
  • Energetic, helpful, motivated, calm, and detail-oriented self-starter.
  • Very organized with strong time management skills and the ability to multi-task.
  • Professional and conservative business appearance.
  • College degree highly preferred.
