About the position

We are seeking a knowledgeable Payroll Specialist to join our team and take charge of processing and managing the company's payroll. In this role, you will be responsible for calculating wages based on hours worked and administering payments accurately and efficiently. As a Payroll Specialist, you will utilize payroll software to ensure precision in your calculations and maintain confidentiality with sensitive information. Your expertise in payroll regulations and tax laws will be crucial in ensuring compliance and avoiding any potential penalties or issues related to payroll processing. You will monitor and understand US federal, state, and local tax laws to ensure compliance, performing regular audits to identify and resolve any compliance issues. Working closely with the Payroll Team, you will ensure the accurate and timely processing of payroll tax liabilities. This includes reconciling federal and state withholding taxes and unemployment taxes on a monthly, quarterly, and annual basis. You will also partner with internal stakeholders and UKG to obtain necessary identification numbers, such as FEIN and SUI, when entering new jurisdictions. In addition to these responsibilities, you will evaluate and improve payroll tax processes to enhance efficiency and accuracy. You will identify opportunities for automation and lead implementation efforts related to payroll taxes. As part of your year-end responsibilities, you will coordinate efforts to ensure accurate W-2s and other annual tax filings. Furthermore, you will ensure the proper setup and maintenance of local withholding codes for both employers and employees in the UKG payroll system.

Responsibilities

  • Knowledge expertise of regulations around employee payroll.
  • Monitor and understand US federal, state, and local tax laws to ensure compliance.
  • Perform regular audits to identify and resolve compliance issues, avoiding delays in filings and monitoring penalties/notices.
  • Work in partnership with the Payroll Team to ensure accurate and timely processing of payroll tax liabilities.
  • Reconcile federal and state withholding taxes and unemployment taxes monthly, quarterly, and annually.
  • Partner with internal stakeholders and UKG to obtain identification numbers, such as FEIN and SUI, when entering new jurisdictions.
  • Evaluate and improve payroll tax processes for higher efficiency and accuracy, identifying opportunities for automation and leading implementation efforts.
  • Coordinate year-end efforts to ensure accurate W-2s and other annual tax filings.
  • Ensure proper setup and maintenance of local withholding codes for employers and employees in the UKG payroll system.

Requirements

  • BA/BS degree or equivalent practical experience
  • Minimum 3 years of payroll tax multi-state and federal compliance
  • 2+ years of UKG Pro experience
  • Intermediate Excel skills (SUMIFs, Pivot Tables, Index/Match, VLOOKUP...)
  • Experience as a results-oriented professional with a keen sense of urgency and attention to detail
  • Excellent problem-solving skills and analytical mindset with good judgment
  • Ability to prioritize workload, multi-task, meet all deadlines, and work well under pressure in a fast-paced environment
  • Excellent organizational skills
  • CPP/FPC certification is a plus
