About the position

The Program Admin Assistant position within the Department of Administrative Services (DAS) focuses on providing administrative and technical support to the Risk Management team. This part-time role involves collaborating with state agencies, assisting program managers, and ensuring the smooth operation of risk management services that protect Oregon's people, property, and resources. The position is designed for individuals who can effectively communicate, manage program activities, and support various administrative tasks in a dynamic environment.

Responsibilities

  • Support Risk program managers in communication with customers, state agencies, and officials.
  • Research and prepare data for management decisions.
  • Assist in tracking program activities and projects.
  • Conduct research and interpret Risk statutes, policies, and procedures for team initiatives.
  • Schedule meetings, prepare materials, and record minutes.
  • Support training sessions, special events, and related program activities.
  • Manage program emails, reserve state vehicles, maintain shared drives, and update templates using Adobe Pro.
  • Administer the Citizen Report program, process Adult in Custody (AIC) injury claims, and manage related billing and payment.
  • Maintain program files, policy manuals, and databases.

Requirements

  • Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR an associate degree in general office occupations and two years of relevant experience; OR an equivalent combination of education and experience.
  • Excellent written and verbal communication skills.
  • Ability to work independently and prioritize work efficiently.
  • Skilled in using a computer and the Microsoft 365 suite (e.g., PowerPoint, Excel, Word, Outlook, Teams).
  • Experience entering and/or retrieving data from a computer database.

Nice-to-haves

  • Strong interpersonal skills with the ability to build rapport with others.
  • Experience working with the public through multiple communication channels including phone, email, and in-person contacts.
