About the position

The Program Administrative Assistant plays a crucial role in managing the day-to-day operations of the office, ensuring that administrative tasks are handled efficiently and effectively. This position requires a detail-oriented and organized individual who can support various functions within the organization, including client management, billing, and event coordination. The ideal candidate will possess strong writing skills and be proficient in Microsoft Office, contributing to the overall success of the program.

Responsibilities

  • Manage day-to-day office needs, including opening and closing the office.
  • Assist Intake/Data Coordinator in creating, managing, and archiving client files.
  • Send out monthly billing invoices and reconciliations to DCF Lead Agency Data Coordinators.
  • Oversee and monitor monthly client allowance distribution for staff debit cards.
  • Ensure the client roster is updated every week.
  • Ensure client location log is updated every week.
  • Submit Monthly Mileage reports to the business manager.
  • Liaison with vendors.
  • Take meeting notes (staff meetings, program leadership meetings, other meetings as necessary).
  • Prepare written correspondence.
  • Coordinate events, out-of-office trips, and client activities.
  • Coordinate maintenance calls and appointments.
  • Research special projects.
  • Manage agency supply inventories.
  • Support Business, Finance, and Development with proposal writing, payroll, fundraising activities, and accounts payable and receivable.
  • Professionally answer phone calls and attend to people who walk in.
  • Perform other duties as deemed applicable by the Program Director.

Requirements

  • Bachelor's or Associate's Degree preferred.
  • At least two years of administrative experience.
  • Proficient in Microsoft Office with 5 years of experience.
  • Excellent writing skills.
  • Organized and detail-oriented.

Nice-to-haves

  • Customer Service experience (3 years preferred).
