About the position

The Program & Administrative Assistant at Hastings Family Service is a vital team member responsible for supporting the administration of various programs, including transportation, seasonal assistance, and food programs. This role involves coordinating volunteer efforts, managing data entry and scheduling, and providing excellent customer service to community members. The position requires strong communication skills, multitasking abilities, and proficiency in technology, all while fostering a welcoming environment for individuals of diverse backgrounds.

Responsibilities

  • Coordinate the Just Friends transportation program, including scheduling rides between clients and volunteers.
  • Build and maintain relationships with volunteer drivers and those assisting with scheduling.
  • Track data and submit timely reports to the County regarding transportation services.
  • Coordinate reimbursement for volunteer drivers and troubleshoot issues as they arise.
  • Serve as the primary coordinator for seasonal programs like School Supplies distribution and Project holiday assistance.
  • Assist with food programs, including mobile programs, as needed.
  • Help with walk-in inquiries and support volunteer receptionists in the neighbor services area.
  • Assist with administrative tasks such as answering phones, completing intake, and scheduling appointments using Link2Feed software.
  • Maintain security and phone systems, and assist with facility needs.
  • Update program and agency documents as necessary and assist with opening/closing procedures.

Requirements

  • At least three years of relevant experience working with the public in a professional business or nonprofit environment.
  • Prior experience in an administrative setting, including answering phones and working on a computer.
  • 2-4 year degree preferred or equivalent experience.
  • Demonstrated experience working with volunteers to achieve necessary outcomes.
  • Strong phone, technology, and computer skills, including proficiency in Microsoft Office 365 (Outlook, Word, Excel).
  • High degree of confidentiality and good judgment when handling sensitive information.
  • Excellent written and verbal communication skills.
