About the position

The Tapia Center for Excellence and Equity in Education at Rice University is seeking a Program Administrator to support the planning, delivery, and wrap-up of Tapia Camps and other programming initiatives. This role is crucial in ensuring that all aspects of the programs are executed smoothly and effectively. The Program Administrator will be responsible for creating and managing communications with clients, developing promotional materials, managing both digital and physical files, and ensuring that program protocols are adhered to. This position is a one-year term-limited role, providing an opportunity to contribute to a vibrant educational environment focused on excellence and equity in education. The ideal candidate for this position will have prior experience working at the Tapia Camps, whether as a camp counselor, instructor, or program assistant. This experience is essential as the Program Administrator will need to communicate effectively with potential clients about the summer camp experience. The role requires excellent communication skills, both oral and written, as well as strong organizational skills to manage various tasks in both digital and physical spaces. Additionally, the ability to manage stress is vital, as the programs often require adaptability to significant changes based on participant needs. This position is offered as a hybrid role, allowing for both in-office and remote work. The expectation is to complete thirty hours per week during standard business hours in the office, with the remaining ten hours being flexible and completed remotely. The specific in-office hours will be determined in collaboration with the position's manager on a semester-by-semester basis. This flexibility is designed to support collaboration while accommodating individual work preferences. The position is classified as non-exempt under the Fair Labor Standards Act (FLSA), making it eligible for overtime pay.

Responsibilities

  • Support the administration of daily operations of the Tapia Center programs, including program operations, curriculum support, registration, student support and recruitment, budget/finance, and communications/outreach.
  • Collect and compile data, create reports, and review documents related to program activities.
  • Assist in formulating alternative solutions and/or recommendations for program improvements.
  • Develop, revise, and implement procedures for program operations.
  • Represent the Tapia Center programs within the department or school.
  • Perform all other duties as assigned, including occasional programmatic support for Saturday programs.

Requirements

  • High School Diploma or equivalent.
  • 2 years of relevant experience in program administration or related fields.
  • Proven proficiency in Microsoft Word, Excel, and PowerPoint, along with overall comfort with technology and communication programs.
  • Very strong oral and written communication skills.
  • Ability to deal professionally with students, faculty, and outside contacts.
  • Excellent organizational and interpersonal skills.
  • Ability to work with minimal supervision and be self-motivated.

Nice-to-haves

  • Experience working at Tapia Camps as a camp counselor, instructor, or program assistant.
  • Familiarity with educational program administration and outreach.
