About the position

The Program Administrator, Data Science at Susan G. Komen is responsible for providing comprehensive administrative support to the Data Science team and its programs, including the ShareForCures initiative. This role involves managing various administrative tasks, coordinating meetings, and ensuring compliance with organizational policies while supporting the execution of research activities and maintaining accurate records.

Responsibilities

  • Provide administrative support for Komen's Data Science team and its programs.
  • Perform scheduling, meeting planning, and logistics for online and in-person meetings.
  • Develop detailed work plans, schedules, project estimates, resource plans, and budgets.
  • Create template documents, materials, presentations, reports, and other assets as assigned.
  • Coordinate meetings, including scheduling, distributing materials, and summarizing notes.
  • Support administration of service contracts, consultant agreements, and grant agreements.
  • Prepare materials and progress reports to support donor stewardship and revenue-generating activities.
  • Ensure compliance and maintain accurate records.
  • Assist with travel arrangements and manage related documentation.
  • Track expenses and assist with identifying budget variances.
  • Manage the collection and monitoring of staff time and effort reports.
  • Coordinate vetting processes for new grantees, speakers, and consultants.
  • Collaborate with other teams to meet programmatic needs and coordinate communications.
  • Assist in creating content about Komen's data science programs for various platforms.
  • Support research activities in compliance with Komen's policies and procedures.
  • Escalate significant issues to senior management as needed.

Requirements

  • Bachelor's degree and 2-5 years of administrative experience.
  • Strong organizational and administrative skills; detail-oriented.
  • Proven ability to manage multiple projects simultaneously.
  • Excellent interpersonal and communication skills, both written and spoken.
  • Intermediate level of computer/technical skills, including proficiency with Microsoft Office Suite and SharePoint.
  • Proficiency with Salesforce and Asana preferred.
  • Self-motivated with a strong sense of responsibility and ownership.
  • Ability to follow instructions and execute plans effectively.
  • Team-oriented attitude with strong cross-functional collaboration skills.

Nice-to-haves

  • Strong knowledge of administrative procedures, planning, and project tracking.
  • Project management skills and/or certification.
  • Experience in business relations and communications with diverse stakeholders.
  • Experience in complex meeting planning and direct interaction with volunteers.
  • Experience in non-profit program administration, preferably in a health-focused organization.
  • Proficiency in Spanish (oral and written) is a plus.
