About the position

The University of Alabama at Birmingham (UAB) is seeking a Program Administrator II who will perform high-level administrative duties with minimal supervision. This role is crucial in maintaining a current knowledge of departmental policies, procedures, and regulations, and providing necessary information and assistance to facilitate the daily operations of the office. The Program Administrator II will support the Associate Dean of Technology and Innovation, the Director of Instructional Technology, the Director of Educational Innovation, and the Director of Simulation, providing comprehensive administrative support and guidance to these departments. This position is not remote and requires the individual to work onsite. In this role, the Program Administrator II will be responsible for a variety of tasks that include answering phone lines, directing visitors, facilitating meeting arrangements, preparing agendas, and taking minutes based on the needs of the Office of Technology and Innovation (OTI). The individual will also maintain filing systems, develop and edit various documents, and monitor email correspondence. Additionally, the administrator may prepare daily deposits, manage P-Card purchases and reconciliations, and complete travel documents while managing employee reimbursements. The role also involves supporting the SON American Heart Association Training Center (AHATC) by maintaining relationships with instructors and providers, handling course registrations, refunds, and tracking instructor certifications and renewals. The Program Administrator II will also be responsible for supporting the Alabama Board of Nursing CEU provider process by submitting CEUs to the Alabama Board of Nursing and may create draft event budgets while managing logistics for onsite continuing education offerings. This position requires a self-motivated individual who can work independently, is highly organized, and possesses strong attention to detail. Excellent communication skills, both oral and written, along with proficiency in Microsoft Office applications, are essential for success in this role.

Responsibilities

  • Provides administrative support to the Office of Technology and Innovation (OTI), including answering phone lines and directing visitors.
  • Facilitates meeting arrangements, prepares agendas, and takes minutes based on OTI needs. Orders office supplies as needed.
  • May prepare daily deposits.
  • Maintains filing systems and develops and edits various documents and monitors email correspondence.
  • Provides administrative support to the SON American Heart Association Training Center (AHATC), that may include moving AHA equipment (adult and infant manikins, carts) maintaining relationships with instructors and providers, course registrations, refunds, tracking instructor certifications and renewals, issuing and managing eCards inventory, record-keeping, equipment checkout and safeguarding exams.
  • Responsible for P-Card purchases, reconciliations, and provides status reporting.
  • Completes travel documents and manages employee reimbursements.
  • May create draft event budgets and manages logistics for onsite continuing education offerings.
  • Supports the Alabama Board of Nursing CEU provider process. Submits CEUs to the Alabama Board of Nursing.
  • Performs other assigned duties.

Requirements

  • Bachelor's degree in a related field and one (1) year of related experience required.
  • Highly organized with strong attention to detail.
  • Excellent communication (oral and written) and interpersonal skills.
  • Highly proficient in Microsoft Word, Excel, Outlook Calendar, and PowerPoint.
  • Ability to maintain confidentiality and adhere to all HIPAA and FERPA guidelines and policies.
