About the position

The Program Administrator for the Residency at The Brookdale Hospital Medical Center serves as a vital support person to the Program Director, acting as a liaison among residents, departments, attending physicians, administration, and outside institutions. This role is essential in maximizing the educational experience of the residency program by supporting faculty and staff in its development and ensuring compliance with relevant standards and regulations.

Responsibilities

  • Coordinate the administrative functions of the residency office and ensure compliance with ACGME standards.
  • Input and maintain data systems management using New Innovations software for resident information.
  • Develop and generate various reports, including GMEC reports and evaluation reports.
  • Coordinate resident recruitment sessions and manage residency applications.
  • Organize and schedule new resident orientation activities.
  • Participate in and monitor Residency meetings with Faculty.
  • Coordinate conference assignments and schedules for residents, faculty, and students.
  • Provide support to residents by distributing institutional information and verifying documents for credentials.
  • Create and assist in developing department forms and logs.
  • Maintain department records and resident files, including memos and correspondence.
  • Complete requests for verification of resident education and training, including letters of recommendation.
  • Prepare the annual department budget and monitor expenses.
  • Prepare purchase requisitions and monitor resident stipend requests.
  • Occasional after hours, evening, and/or weekend work required.

Requirements

  • Bachelor's Degree preferred but not required.
  • Minimum of four years' experience in healthcare or relevant experience.
  • Knowledge of ACGME requirements for institutional, core, fellowship, and program.
  • Knowledge of Joint Commission regulations.
  • Knowledge of Department of Health (DOH) regulations.
  • Knowledge of Electronic Residency Application Service (ERAS).
  • Knowledge of National Resident Matching Program (NRMP).
  • Knowledge of New Innovations software.
  • Ability to work independently and handle confidential matters.
  • Detail-oriented, organized, and possess superior communication skills.
  • Strong problem-solving and decision-making skills.
  • Effective administration and organization skills.
  • Ability to prioritize and set goals.
