About the position

The Program Administrator at the University of Arkansas for Medical Sciences (UAMS) plays a crucial role in providing administrative management and coordination for the Surgical Specialties Service Line. This position involves overseeing various business functions such as budgeting, scheduling, finance, personnel management, and grant administration. The Program Administrator will also develop reports and dashboards to monitor key metrics, analyze data, and assist in process improvements, while serving as administrative support for the Division of Plastic and Reconstructive Surgery.

Responsibilities

  • Assist in preparation of service line annual budget and prepare monthly budget reports for Service Line Leadership.
  • Maintain meeting schedules and prepare meeting reports and presentations.
  • Develop and maintain department dashboards and monitor key access and financial metrics.
  • Manage service line procurement contracting, revenue contracting, and invoicing functions.
  • Provide overall administrative support to service line leadership and providers, including Human Resource functions, budgeting, capital equipment, inventory, documentation, and billing.
  • Coordinate and manage various service line projects and other duties as assigned.
  • Perform administrative duties under the minimum supervision of faculty members and direct supervisor.
  • Manage faculty calendars and schedules, including clinical and educational time and other time-sensitive meetings.
  • Update faculty's curriculum vitae and assist with preparation of Promotion & Tenure packets as needed.
  • Enter call schedule into On-Call System as needed.
  • Set up meetings, coordinate functions, prepare agenda, and take minutes as needed.
  • Track and remind faculty of schedules and appointments.
  • Provide data entry support on faculty items as needed.
  • Screen and answer calls in a professional and timely manner; route incoming communications appropriately.
  • Manage division property and maintain office equipment in working order.
  • Order office supplies and maintain appropriate levels of supplies.
  • Pick up and distribute incoming mail and gather outgoing mail daily for the division.
  • Assist the Division Chief with special projects as needed.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, Finance, or related field plus 4 years of experience managing complex programs or processes, OR a high school diploma/GED plus a minimum of 8 years of professional or Healthcare Administration experience.
  • Strong organizational skills and proficiency with MS Office programs including Outlook, Word, Excel, and PowerPoint with Intermediate Level Proficiency.
  • At least 5 years' experience preparing executive-level reports and correspondence.

Nice-to-haves

  • Bachelor's Degree in Business Administration, Communications, or related field plus 5 years of professional and executive-level support experience.
