The Program & Operations Support Coordinator plays a crucial role in supporting the organization’s mission by providing administrative support to the administrative, program, and development staff. This position involves volunteer coordination, conducting grant-mandated processes for youth programming, and supporting the overall administrative needs of the organization. The coordinator will work closely with the Employment Services Director and the Executive Director, collaborating with other team members to ensure the effective delivery of comprehensive youth programming. The role is diverse and includes a mix of program support, administrative tasks, and building upkeep. The coordinator will be responsible for recruiting and training volunteers, providing employment support, assisting with grant reporting requirements, overseeing building maintenance, and managing the safety and comfort of the facility. This position requires a self-starter who is enthusiastic about helping youth and is committed to upholding Van Go's mission and values.

Responsibilities

  • Recruit and train volunteers for Van Go programs and events.
  • Onboard, supervise and coordinate all aspects of Van Go volunteers.
  • Provide one-on-one and group employment support in coordination with Employment Services Director.
  • Assist in supervising program participants in coordination with program staff.
  • Assist with ongoing Van Go programming duties including programmatic hiring, preparation, and breakdown.
  • Attend and participate in regularly scheduled staff and program meetings.
  • Coordinate educational support services for program participants.
  • Assist program staff with WIOA grant reporting requirements, including providing required follow-up services on all enrolled youth participants.
  • Assist with conducting WIOA enrollment procedures, including becoming certified to administer and coordinate CASAS assessments.
  • Assist with program-specific data entry.
  • Oversee maintenance of interior and exterior building needs, including training Van Go participants in weekly maintenance activities.
  • Manage the safety of the facility by coordinating vendors to monitor fire extinguishers and security systems.
  • Act as support point-person for security system alerts.
  • Maintain the comfort of the building by working with vendors to ensure that lighting, HVAC, plumbing, and electrical systems are regularly checked and in good working order.
  • Oversee and schedule the maintenance of Van Go vehicles; administer insurance policy renewals and vehicle licenses.
  • Oversee equipment use and ensure that tools, computers, projectors, phones, and other devices are inventoried, regularly updated, and kept in good working order.
  • Oversee ongoing office administrative duties to keep Van Go operational.
  • Oversee mobile device management software for Van Go's technology.
  • Assist Directors with programmatic and building purchases as approved by the Directors.

Requirements

  • Associate's degree or 2 years equivalent experience.
  • At least two (2+) years of relevant work experience in volunteer coordination, employment support, tutoring, instruction, events, and/or marketing.
  • Ability to effectively manage change and move toward solutions intentionally and optimistically with a 'can-do' attitude.
  • Ability to engage with youth of different ages and diverse backgrounds effectively and enthusiastically.
  • Commitment to uphold and implement Van Go's mission, educational philosophy, code of ethics, professional standards, and equity values.
  • Adaptability, analysis, collaboration, personal impact, dependability, safety awareness, organizational sensitivity, professionalism, and teamwork.

  • Knowledge of WIOA youth programs preferred.
