About the position

The Program and Policy Assistant at the National Center for APEC (NCAPEC) is a temporary, full-time role focused on providing administrative and program support within a fast-paced international business association. The position involves coordinating meetings, managing schedules, and supporting the President's Board-related activities, while also assisting with policy team support and event planning. This role is ideal for individuals interested in international commercial affairs and offers an opportunity to work closely with senior-level business and government representatives.

Responsibilities

  • Provide administrative support for NCAPEC's daily operations.
  • Coordinate staff meetings, including agenda development and follow-up on outcomes.
  • Manage schedules and coordinate meetings across multiple time zones for executive staff.
  • Update frequently accessed documents, including NCAPEC's calendar of events and templates.
  • Track incoming and outgoing invoices, ensuring timely processing and payment.
  • Monitor NCAPEC's general email inboxes and manage renewals of subscriptions for services and software.
  • Assist with office supply inventory management.
  • Support the President's Board-related activities, including tracking Board member recruitment and engagement.
  • Facilitate board member registration and engagement in official APEC meetings.
  • Assist in planning and execution of NCAPEC workshops and events, including registration functions and venue research.
  • Conduct ad hoc research on topics related to policy priorities or other issues related to APEC.

Requirements

  • U.S. work authorization required.
  • Proficiency with Microsoft Office programs, especially Outlook, Word, PowerPoint, and Excel.
  • Experience in an administrative support role, preferably in a financial or corporate environment.
  • Bachelor's degree (or equivalent work experience) required, preferably in communications, international studies, or public policy.
  • Experience with CRM software and applications including Dropbox and Slack.
  • Ability to work independently and under pressure with minimal supervision.

Nice-to-haves

  • Experience working with an international association is strongly preferred.
  • Agility in response to changing work situations and priorities.
  • Willingness to travel domestically, as required.
