About the position

The Program Assistant for the Department of Disability and Educational Support Program (DESP) at West Valley College will provide essential administrative support to the program director and serve as the primary point of contact for program information. This role is crucial in ensuring the smooth operation of the DESP, which aims to assist a diverse student population in achieving their educational goals.

Responsibilities

  • Perform routine administrative support work including filing, billing, and processing class rosters.
  • Serve as the initial source of information and assistance to students and program participants.
  • Develop and maintain spreadsheets, databases, and other automated systems for program operations.
  • Schedule meetings, classes, and appointments as assigned.
  • Compose routine correspondence and prepare various contracts.
  • Act as program liaison to vendors and outside organizations.
  • Maintain ledger of expenses and revenues; process fees, charges, and donations.
  • Assist with program outreach and marketing efforts, including preparing informational materials.
  • Set up classrooms or meeting rooms and prepare materials for presenters.
  • Assist students with technology-related issues and program-specific duties.

Requirements

  • Two years of responsible general clerical experience.
  • Understanding of diverse academic, socio-economic, ethnic, religious, and cultural backgrounds.
  • Knowledge of modern office practices and procedures, including recordkeeping and filing techniques.
  • Ability to work independently and prioritize workload.
  • Ability to communicate effectively orally and in writing.
