About the position

The Program Assistant/Intake Coordinator plays a crucial role in providing administrative support to the CFTSS/HCBS Program at New Alternatives for Children, Inc. This position serves as the first point of contact for all referrals, requiring professionalism and strong communication skills. The coordinator is responsible for managing referral processes, maintaining client records, and ensuring compliance with training and documentation requirements.

Responsibilities

  • Functions as the main point of contact for all referrals made to the CFTSS/HCBS Program and develops positive/helping relationships with referral sources.
  • Reviews all referral paperwork and ensures that all necessary paperwork is received and that the client qualifies for the referred services before enrolling the client into the HCBS/CFTSS Referral Program.
  • Reviews and processes all referrals in the statewide IRAMS system before entering them into the NAC Electronic Health Record.
  • Maintains all client referral documents and demographic information within the Electronic Health Record (EHR) and Microsoft One Drive.
  • Maintains program client case records within the Electronic Health Record by inputting client demographics and referral documents.
  • Checks each client's Medicaid Eligibility at the beginning of each month.
  • Manages all the training certificates and monitors training compliance for all Clinical/Rehabilitation Service Providers (CRSP) and Administrative staff.
  • Manages and distributes petty cash and MetroCards to CRSP staff as requested.
  • Manages all the application documents for potential CRSP staff and assists with onboarding new applicants.
  • Prepares reports, memos, letters, and other documents using Microsoft Office software.
  • Attends program meetings and takes minutes if requested.
  • Serves as a member of the program administrative team.
  • Provides telephone reception coverage at the front desk when necessary.
  • Performs any other duties reasonably required to meet the responsibilities of the position.

Requirements

  • Requires Bachelor's degree and administrative support experience.
  • Excellent communication skills and computer literacy required.
  • Highly organized, detail-oriented, and able to handle multiple simultaneous projects.
  • Computer skills must include MS Word, Excel, Access, and Outlook.
  • Effective written and oral communication skills, including telephone demeanor.
