About the position

The Program Associate position at Teachers College, Columbia University, is a part-time role focused on coordinating the activities of a community of musicians, teachers, and scholars within the Music and Music Education program. The associate will manage various operational aspects, including faculty and student support, admissions, alumni relations, marketing, and event planning, while serving as the primary contact for students regarding program-related inquiries.

Responsibilities

  • Work closely with the Program Director to develop and execute academic policies
  • Manage semester course schedule and catalog updates
  • Provide registration support and coordinate cross-registration processes with other Columbia schools
  • Enter scholarship recommendations and financial aid awards in APEX in conjunction with faculty
  • Manage preparations for program orientations and develop information packets and presentations
  • Develop and maintain student database including current students and alumni
  • Ensure that student files are complete and up-to-date
  • Oversee student outreach and communication, addressing student concerns and questions
  • Assist with alumni relations and communications
  • Collaborate with the Department Digital Content Coordinator to maintain/update program websites and social media outlets
  • Prepare ad hoc materials and special projects
  • Organize special events, including orientations, conferences, lectures, guest speakers, musical concerts, and workshops
  • Act as a liaison with relevant Departmental programs and other college and university offices
  • Assist Department Staff with student and instructional hiring, including preparing job descriptions and pay
  • Perform other administrative duties as assigned.

Requirements

  • Bachelor's degree
  • Excellent interpersonal skills
  • Excellent written and verbal communication skills
  • Experience with budget management
  • Highly organized and entrepreneurial
  • Ability to work well independently and in a team environment
  • Professional attitude
  • Proficiency with Google Suite and social media/content creation platforms (e.g., WordPress, Canva, Photoshop, Illustrator)
  • Must not be a student in the Music and Music Education Program.

Nice-to-haves

  • Music or Music Education background or experience working in the arts
  • Higher education administration experience
  • Knowledge of Teachers College systems (Banner, ePAFs, Unimarket, Slate, Chrome River, APEX)
