About the position

The Program Budget Coordinator at the Fathers & Families Coalition of Utah plays a crucial role in managing and coordinating program budgets across various funding organizations. This position serves as a liaison between program teams and funding entities, ensuring effective communication and compliance with grant regulations. The coordinator is responsible for financial data analysis, budget management, and providing recommendations to support decision-making related to program funding.

Responsibilities

  • Design grant programs and accounts in the FFCU financial system for effective expenditure tracking and reporting.
  • Develop, implement, and interpret grants/assistance management policies and procedures.
  • Plan, develop, and write reports on foundation funding utilization and submit grant budget reimbursements.
  • Collaborate with Executive and Program Directors to determine funding needs for service expansion.
  • Review and evaluate compliance with grants/assistance policies and procedures.
  • Serve as a liaison between state government and foundation organizations.
  • Negotiate and make budget amendments on behalf of FFCU.
  • Prepare, process, issue, and track grants/assistance for compliance with reporting requirements.
  • Maintain a master list of grants and financial operational systems with account information.
  • Inform and track program and salary budgets for staff regarding grant awards and reporting due dates.
  • Work closely with administrative staff on state and foundation grants reporting and G/L reconciliation.
  • Monitor grant expenditures and ensure proper documentation is obtained for sponsor approval.
  • Draft quarterly and final financial reports by grant requirements.
  • Coordinate grant closeout processes with all programs and finance staff to ensure timely spending and report submission.
  • Review vendor agreements for compliance and funding availability.
  • Train staff on budget and funding restrictions.
  • Manage timelines, deadlines, and deliverables.

Requirements

  • A minimum of three (3) years of experience in grant budget management, research, program organization, or grant-related financial support functions.
  • Bachelor's degree in Finance, Accounting, Business Administration, Public Administration, or a closely related field (preferred).
  • Excellent organizational and project management skills.
  • Strong understanding of budgeting and financial management, including budget analysis, forecasting, and reporting.
  • Proficiency in Microsoft Office Suite and QuickBooks.
  • Demonstrated experience in designing, organizing, reviewing, analyzing, monitoring, and reporting on grant projects.
  • Ability to communicate effectively in writing and orally, utilizing correct English grammar and vocabulary.
  • Proven interpersonal skills to maintain positive interactions with public, staff, vendors, and board members.

  • Knowledge of public and private funding sources, including state and private foundation regulations.
