About the position

The Program Coordinator for the Center for Korean Studies at the University of California, Berkeley, plays a pivotal role in managing the Center's vibrant visiting scholar program, which hosts 20-30 scholars annually. This position requires independent management of the entire process, from the initial invitation to securing appropriate visas, overseeing the arrival and departure of scholars, and developing activities that enhance their academic experience at Berkeley. The Program Coordinator will work closely with the Center's Faculty Chair and Program Director to ensure that all aspects of the program run smoothly and effectively. In addition to managing the visiting scholar program, the Program Coordinator will assist with various conference and event planning activities. This includes making travel arrangements for guest speakers, handling general center administration, and processing a variety of operational and financial transactions. The role demands a high level of organization and attention to detail, as the coordinator will be responsible for managing logistics for events, including negotiating contracts with vendors, overseeing catering services, and ensuring that all necessary materials are prepared and distributed to participants. The position also involves liaising with various campus offices and departments to provide guidance on university policies and procedures, particularly those related to visiting scholars. The Program Coordinator will need to be adept at problem-solving and interpreting complex guidelines regarding visa and immigration issues, ensuring that all scholars receive the support they need during their time at Berkeley. This role is essential in fostering a welcoming and productive environment for international scholars and enhancing the overall mission of the Center for Korean Studies.

Responsibilities

  • Manage the Center's visiting scholar program, including eligibility assessments and invitation processes.
  • Prepare requests for visiting scholar status and assist with visa authorizations.
  • Advise faculty and scholars on visa and immigration issues, resolving complex problems as needed.
  • Coordinate the arrival and orientation of visiting scholars, including office space allocation and facilities management.
  • Organize logistics for conferences and events, including travel arrangements and vendor negotiations.
  • Design and generate publicity materials for events, ensuring effective communication with participants.
  • Assist with budget preparation for contracts and grants, and administer multiple funding sources.
  • Provide guidance to other administrative staff on procedures and policies.

Requirements

  • Thorough knowledge of administrative procedures and processes, including word processing and spreadsheet applications.
  • Ability to learn campus policies and procedures quickly to support operations of an independent research unit.
  • Excellent verbal and written communication skills, with strong active listening and critical thinking abilities.
  • Demonstrated administrative experience with tact and diplomacy in interactions with academic and faculty members.
  • Intermediate to advanced skills in UC web-based systems for reimbursement and purchasing.
  • Interpersonal and leadership skills to guide nonexempt personnel effectively.
  • Knowledge of immigration law and UC Berkeley's visiting scholar practices, particularly cultural expectations in Korea.
  • Fluency in Korean to manage the visiting scholar program effectively.
