About the position

Parsons is seeking a talented Program Coordinator/Administrative Assistant to join our dynamic team. In this role, you will be responsible for efficiently managing various administrative tasks that are crucial for the smooth functioning of the program. Your primary duties will include managing the Program Point of Contact's (POC) MS Outlook calendar, coordinating meetings, and providing availability to personnel as needed. You will also attend and capture minutes for Branch and Section meetings, as well as ad hoc meetings at the request of the Program POC. In addition to these responsibilities, you will create and monitor submissions for tasks via the DSS Task Tracker system, monitor DS Broadcasts, track their applicability, and alert personnel accordingly. You will serve as the main point of contact for facility conference room and fleet vehicle reservations, prepare official memorandums for the issuance and renewal of Diplomatic, secondary Diplomatic, and Service Passports, and process facility badging access requests. Furthermore, you will coordinate travel arrangements using the E2 system and perform additional administrative duties as assigned. Responsibilities

  • Manage Program POC MS Outlook calendar and distribute daily forecast of schedule.
  • Coordinate meetings at the Program POC's request and provide availability to personnel inquiring as needed.
  • Attend and capture Branch and Section meeting minutes, including action items.
  • Attend and capture ad hoc meeting minutes at the request of the Program POC.
  • Create and monitor submissions for tasks via DSS Task Tracker system.
  • Monitor DS Broadcasts, track applicability, and alert personnel accordingly.
  • Serve as the main point of contact for facility conference rooms and fleet vehicle reservations.
  • Prepare official memorandums for issuance/renewal of Diplomatic, secondary Diplomatic, and Service Passports.
  • Process facility badging access requests.
  • Coordinate travel arrangements via E2 system.
  • Perform additional administrative duties as assigned.

Requirements

  • Bachelor's degree preferred, or equivalent experience in administrative support roles.
  • Proficiency in MS Outlook, MS Office Suite, and other relevant software.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.

Nice-to-haves

  • Ability to multitask and prioritize tasks effectively.
  • Familiarity with government procedures and protocols preferred.
  • Experience with travel coordination systems is a plus.
  • TS clearance preferred.
