About the position

The Program Coordinator for the Abortion and Gynecology division at Brigham & Women's Hospital is responsible for overseeing front desk operations and surgical scheduling within the Department of Obstetrics & Gynecology. This role requires strong organizational skills, the ability to multitask, and excellent customer service, as the coordinator will manage patient interactions, schedule surgical cases, and ensure optimal patient experiences in accordance with hospital policies.

Responsibilities

  • Coordinate all registration and visit-related activities for patients scheduling with the practices.
  • Serve as point person for patient satisfaction efforts and improvement initiatives in collaboration with Practice Manager(s).
  • Ensure all patients and family members are attended to in a professional and compassionate manner.
  • Act as patient liaison to communicate patient needs and feedback to appropriate clinical team members.
  • Book all surgical cases requested by the division, coordinating with Operating Room teams and Weiner Center teams at multiple locations.
  • Obtain and scan necessary consents and relevant insurance or medical documents for surgical cases.
  • Coordinate scheduling of joint cases and consults with different departments and divisions.
  • Supervise and assist with managing division functions, including routine calls and metric reports.
  • Train backup Surgical schedulers and cross-cover other OBGYN division surgical schedulers.
  • Obtain referrals for patient appointments and process payments for self-pay patients.
  • Verify insurance coverage and request prior authorizations as needed.
  • Review copay collection and improve efficiency of collection processes.
  • Serve as administrative lead to ensure optimal surgical experiences given current resources.
  • Collect and analyze patient feedback through focus groups and surveys.
  • Review and modify patient information and educational materials regularly.
  • Identify barriers to patient care and recommend strategies for improvement.
  • Collect, prepare, and analyze reporting data related to quality of patient care services and satisfaction.
  • Maintain providers' schedule templates in the scheduling system.
  • Develop and lead projects aimed at improving patient experience and satisfaction.
  • Assist Practice Manager with new employee onboarding and orientation.
  • Attend division leadership and surgical scheduling meetings as necessary.

Requirements

  • Minimum of a high school diploma or GED; Bachelor's degree preferred.
  • 1 to 2 years of healthcare or abortion experience strongly preferred.
  • Fluency in Spanish is strongly preferred.
  • Strong analytical, organizational, interpersonal, and customer service skills required.
  • Excellent interpersonal and telephone skills, both verbal and written.
  • Knowledge of medical terminology, preferably in ob/gyn.
  • Computer skills including Outlook, Word, Excel; previous experience in Epic is a plus.
  • Excellent organizational, prioritization, and critical thinking skills required.
  • Ability to work collaboratively with administrative, nursing, and attending staff.

Nice-to-haves

  • Experience in a healthcare setting, particularly in obstetrics and gynecology.
  • Familiarity with surgical scheduling processes.
