About the position

The University of Cincinnati's College of Design, Architecture, Art, and Planning (DAAP) is seeking a Program Coordinator to join its Student Affairs office. This position plays a vital role in providing essential office support and serves as the first point of contact for students, faculty, staff, and the general public. In this position, the Program Coordinator will be responsible for a variety of tasks, including maintaining calendars and scheduling appointments for the Dean's Office staff, providing administrative support, managing office operations, and processing admission applications. The role also involves compiling information for the Student Affairs e-newsletter, managing email accounts, and serving as a liaison with other university offices. The Program Coordinator will need to be detail-oriented, self-motivated, and capable of generating ideas and making decisions independently. Responsibilities

  • Serve as the first point of contact for the college with students, staff, faculty, and the general public.
  • Respond to inquiries via written communication, in-person, and telephone.
  • Maintain calendars and schedule appointments for the Dean's Office staff, especially the Student Affairs team.
  • Provide administrative support to the Dean's Office, including mailings, making copies, and processing business transactions.
  • Manage the operations of the office, including maintaining and ordering supplies, and keeping common spaces tidy and clean.
  • Schedule rooms, meetings, and appointments; prepare agendas and documents for meetings and events; take minutes as needed.
  • Manage the document retention process for the Dean's Office, Student Affairs, Faculty Affairs, and Business Office.
  • Process admission applications and confirmations for undergraduate transition and readmission students.
  • Manage DAAP email accounts and coordinate the course equivalency process.
  • Compile information for the Student Affairs e-newsletter and develop office procedures as needed.
  • Manage the hiring process for student workers and graduate assistants, and assist with visa processing.
  • Serve as a departmental liaison with other offices and departments at the university.

Requirements

  • Bachelor's degree in a related area with one (1) year of experience; OR an Associate's degree with three (3) years of experience; OR five (5) years of experience in high-level administrative support or a related field.
  • One (1) year of program coordination experience.
  • Proficient in Microsoft Office products, including Outlook, Word, and Excel.
