About the position

The Program Coordinator for the Department of Surgery at the Henry M. Jackson Foundation (HJF) is responsible for providing administrative project oversight and support under the direction of a supervisor. This role involves coordinating various administrative functions, including budget management, personnel management, and contract oversight, while ensuring compliance with organizational policies. The coordinator will work closely with the Department's Administrative Officer and support the Department of Surgery at the Uniformed Services University and Walter Reed National Military Medical Center.

Responsibilities

  • Perform a variety of administrative and advisory duties involving day-to-day oversight of program functions.
  • Establish, maintain, and monitor computer databases on department programs and operations.
  • Ensure databases are accurate, complete, and up to date to assure information and system integrity.
  • Maintain Equipment Tracking spreadsheet and updates for USU Directory.
  • Collect, review, and submit department knowledge products for scientific and public clearance review.
  • Provide review policy, guidance, and assistance to staff regarding knowledge products.
  • Prepare and maintain USU Walter Reed Surgery's calendar of events.
  • Update and disseminate monthly financial tool.
  • Participate in the development and coordination of advertising materials for USU Walter Reed Surgery.
  • Prepare various reports as required by the Administrative Officer.
  • Analyze practices and procedures related to space and procurement.
  • Draft and coordinate the release of internal administrative instructions and procedures.
  • Coordinate and disseminate office policies with other organizational components of USUHS.
  • Participate in strategic planning efforts for the Department of Surgery as needed.

Requirements

  • Bachelor's Degree required.
  • Minimum of 0 - 2 years of experience required.
  • Intermediate Microsoft Office and Adobe experience.
  • Knowledge of organizational objectives and office automation.
  • Ability to work independently and use sound judgment in problem-solving.
  • Excellent communication and interpersonal skills.
  • Ability to obtain and maintain a T1 Public Trust/CAC background check.
