About the position

The Architecture Department is dedicated to classical architecture and collaborates with industry professionals, businesses, and organizations to create unique opportunities for students. This role will enhance external engagement, foster relationships with donors and sponsors, and ensure efficient operations within the department. The Program Coordinator will also play a critical role in long-term departmental initiatives, including potential accreditation efforts and the development of new academic programs. This is a full-time position designed to support the department's sustained growth and success.

Responsibilities

  • Maintain organized departmental records, including course rosters, student contacts, fee schedules, and budgets.
  • Process new scholarships, oversee compliance, and forward both internal and external scholarship opportunities to students.
  • Oversee student workers.
  • Update and maintain departmental catalogs and accreditation documentation.
  • Track finances, faculty travel, and department purchases, ensuring efficient financial reporting.
  • Coordinate travel arrangements for guest speakers and critics, particularly during critical periods such as end-of-semester critiques.
  • Reserve event spaces and assist in planning departmental functions, fundraisers, and alumni engagement.
  • Support student club events and facilitate guest transportation.
  • Cultivate relationships with Catholic high school guidance counselors to enhance recruitment efforts.
  • Coordinate community involvement and student activities across regional areas, from St. Joseph to Kansas City.
  • Establish and maintain relationships with professional organizations and institutions, including NAAB, ICAA, INTBAU, and others, to support accreditation and networking efforts.
  • Liaise with campus offices and corporate sponsors to secure departmental resources such as building material samples, books, and event sponsorships.
  • Manage the architecture resource library of over 6,000 volumes, including donations and acquisitions, with an anticipated growth to over 10,000 volumes.
  • Maintain circulation records for departmental resources and student work.
  • Facilitate the creation of a model-making shop by coordinating materials donations and sponsorships.
  • Coordinate IT and maintenance needs, ensuring efficient use of technology and software programs within the department.
  • Maintain the department's website and social media presence.
  • Manage year-round communications with graduate schools and external stakeholders regarding student placements and program details.
  • Maintain academic records and ensure compliance with NAAB requirements, supporting accreditation initiatives.
  • Assist in the development or modification of courses, handling related paperwork and administrative tasks.
  • Track and analyze department growth patterns, providing data for strategic planning and resource allocation.
  • Assist in creating an annual student project catalog featuring articles and student work, as requested by professional firms and educators globally.
  • Highlight and support the extended commitments of faculty, who dedicate significant time beyond standard teaching loads to enhance student learning experiences.

Requirements

  • Strong organizational, communication, and project management skills.
  • Ability to engage professionally with donors, alumni, and external partners.
  • Experience with budget management and event coordination.
  • Familiarity with higher education, architecture, or a related field is preferred.
  • Demonstrated ability to work independently and manage multiple priorities simultaneously.
  • Bachelor's degree required; experience in higher education or architecture-related fields preferred.
  • Exceptional organizational and communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Drive), and Adobe Acrobat; experience with event planning software and database management tools, is a plus.
