About the position

The Program Coordinator for the General Surgery Residency Program at Temecula Valley Hospital (TVH) plays a crucial role in the operational management of the program. This position requires a comprehensive understanding of national ACGME accreditation policies and demands a high degree of initiative and independent judgment. The Program Coordinator will be responsible for assessing and directing a wide range of programmatic issues, including long-range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, and managing internal and external program relations. In this role, the Program Coordinator will provide administrative supervision and support to residents, acting as a liaison between residents and hospital administration when necessary. They will establish relationships with other hospitals, clinics, and medical organizations regarding resident recruitment, orientation, and external rotations. The coordinator will also plan annual events for the residency program, such as recruitment, orientation, graduation, and faculty retreats, ensuring that all activities align with the program's goals and objectives. Additionally, the Program Coordinator will inform residents and trainees of policy and procedure changes, work closely with the hospital's medical staff credentialing office to ensure compliance with licensing and credentialing procedures, and oversee all purchasing for the residency program. They will maintain the ERAS database during the applicant recruitment season, schedule interviews, and perform all responsibilities related to the National Residency Match Program (NRMP). This position requires excellent communication skills, the ability to handle sensitive information confidentially, and proficiency in software applications such as Microsoft Word, Excel, and PowerPoint.

Responsibilities

  • Provide administrative supervision and support to residents.
  • Act as a liaison between residents and hospital administration.
  • Establish relationships with other hospitals, clinics, and medical organizations regarding resident recruitment and orientation.
  • Plan residency program annual events including recruitment, orientation, graduation, and faculty retreats.
  • Inform residents and trainees of policy and procedure changes.
  • Work closely with the medical staff credentialing office to ensure compliance with licensing and credentialing procedures.
  • Oversee all purchasing for the residency program and assess equipment acquisition needs.
  • Create and maintain external program advertising/media through various platforms.
  • Maintain the ERAS database and oversee its processes during the applicant recruitment season.
  • Perform all NRMP responsibilities and correspond with newly matched residents.
  • Receive inquiries from residents and applicants and triage as necessary.
  • Perform other duties as assigned by the Program Director or GME Manager.

Requirements

  • Bachelor's degree required or a minimum of four years' experience in a full-time academic and/or program coordinator role.
  • Excellent written and verbal communication skills.
  • Ability to organize information effectively.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint.
  • Ability to make decisions independently or escalate issues as needed.

Nice-to-haves

  • Experience working with New Innovations web-based software or other web-based GME Program Management Software.
  • A minimum of 3 years' experience as a program coordinator for a residency or fellowship training program.
