About the position

The Program Coordinator I at Texas A&M University's Center for Executive Development (CED) plays a crucial role in the planning, development, administration, and implementation of high-quality executive education programs. This position requires collaboration with leadership to ensure that the programs effectively meet the needs of clients and participants while aligning with the objectives of both CED and Mays Business School. The CED is dedicated to cultivating ethical leaders through tailored executive courses, and the Program Coordinator will be instrumental in facilitating this mission. In this role, the Program Coordinator I will be responsible for coordinating designated CED programs, serving as the primary point of contact for vendors, participants, and faculty. This includes managing program logistics, verifying expenses against budgets, and ensuring compliance with safety and health policies. The coordinator will also be involved in the strategic planning of programs, collaborating with team members to create new offerings for clients and expanding existing programs. The position demands strong organizational skills, the ability to manage multiple projects under tight timelines, and excellent communication skills to interact effectively with industry professionals. The role requires flexibility, as it may involve working irregular hours, including early mornings, evenings, and weekends, as well as overnight travel. The Program Coordinator will also be responsible for participant coordination, including arranging transportation, catering, and orientation events, as well as maintaining program records and databases. Overall, this position is vital to the success of the CED's mission to educate and empower transformational leaders for a global society.

Responsibilities

  • Coordinate designated CED programs and serve as the primary point of contact for vendors, participants, and faculty.
  • Manage program logistics, including scheduling, budgeting, and compliance with safety and health policies.
  • Assist in establishing short and long-term goals for the client portfolio and strategically plan programs in coordination with team members.
  • Develop and maintain relationships with stakeholders including clients, faculty, outside vendors, and Center staff.
  • Coordinate curriculum and class schedules with faculty and staff, ensuring the adequacy of presentation materials and training aids.
  • Review program evaluations to identify strengths and opportunities for improvement, providing feedback to presenters.
  • Schedule participant transportation and arrange catering for meals during programs.
  • Coordinate with administrative staff for ordering supplies and maintaining training materials for program coordination.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Strong organizational and time management skills with the ability to manage multiple projects under tight timelines.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Ability to adapt rapidly to changing situations or last-minute challenges.
  • Proficient in word processing, spreadsheet, database, and presentation software.

Nice-to-haves

  • Experience with Microsoft Office Suite and Adobe Creative Suite.
  • Familiarity with registration software.
