About the position

The University of Illinois Chicago (UIC) is seeking a full-time Operations Manager for the Center for Student Involvement (CSI). This pivotal role is designed to enhance the overall student experience by managing the day-to-day operations and logistics of the CSI. The Operations Manager will be responsible for providing exemplary service to students, faculty, staff, and external stakeholders engaging with the CSI's programs and services. This position involves overseeing customer interactions, managing inquiries, and implementing strategies to enhance the overall customer experience with CSI. The Operations Manager will also oversee administrative processes to foster a vibrant and engaged campus community. In this role, the Operations Manager will serve as the chief customer service manager for the Center for Student Involvement. This includes managing inquiries through various channels, such as in-person visits, phone calls, emails, and social media. The Operations Manager will provide accurate and timely information to address questions related to student organizations, events, and involvement opportunities. Additionally, the position requires handling customer concerns and conflicts in a professional and diplomatic manner, working to find resolutions that align with university policies and values. Collaboration with other campus departments will be necessary to address complex issues. The Operations Manager will also support student organizations by helping to resolve front-level issues and managing the Outdoor requests/work order systems for student organizations and departmental initiatives. This role includes supervising the Classroom Reservation Request process for student organizations and assisting with the ticket distribution process for major programs. The Operations Manager will coordinate logistics and provide support for end-of-the-semester programming, including Impact Day and awards ceremonies, while liaising with on-campus entities such as UIC Parking, Facilities Management, and UIC Police to aid in the execution of key departmental initiatives and events. Other responsibilities include creating and assisting with new vendor forms, understanding and articulating various federal, state, and local laws related to the Center for Student Involvement, and establishing relationships with industry influencers and key strategic partners. The Operations Manager will contribute to annual and monthly reports, support assessments of CSI initiatives, and represent the Center on university-wide committees. This position also involves hiring, training, developing, and managing full/part-time staff, graduate staff, and student leaders to ensure that qualified individuals join the team and meet CSI's mission and goals. The Operations Manager will support day-to-day office operations and perform other related duties as assigned.

Responsibilities

  • Serve as the chief customer service manager for the Center for Student Involvement.

  • Coordinate logistics and provide support for end-of-the-semester programming, including Impact Day and awards ceremonies.
  • Liaise with on-campus entities such as UIC Parking, Facilities Management, and UIC Police to aid in the execution of key departmental initiatives and events.
  • Create and assist with new vendor forms, miscellaneous vouchers, and internal/external contracts.
  • Understand and articulate various federal, state, and local laws related to the Center for Student Involvement.
  • Establish and maintain relationships with industry influencers and key strategic partners.
  • Contribute to Center for Student Involvement annual and monthly reports, and staff weekly updates.
  • Plan and support assessments of the Center for Student Involvement initiatives and select priority events.
  • Represent the Center for Student Involvement on university-wide committees.
  • Hire, train, develop, and manage full/part-time staff, graduate staff, and student leaders.
  • Support day-to-day office operations and perform other related duties as assigned.

Requirements

  • Bachelor's degree.
  • A total of one (1) year (12 months) demonstrated experience with logistics and navigating university systems to support student organizations and/or event planning on campus.

Nice-to-haves

  • Five + years of experience in administering higher educational event programming and advising/supervising students.
  • Extensive experience working at the University of Illinois Chicago.
