About the position

The Program Coordinator for Public Programming and Social Impact at the John F. Kennedy Center for the Performing Arts plays a crucial role in the planning and coordination of various Social Impact programs and their related activities. This position is integral to ensuring that programs are delivered on schedule and within budget, while also functioning smoothly. The coordinator will work closely with the Social Impact staff, particularly focusing on Public Programming, to implement anti-racist practices in project coordination and key project tasks. This includes managing artist services, asset collection, ticketing, and general administrative tasks related to the planning and execution of all Social Impact activations. In this role, the Program Coordinator will be responsible for coordinating and line producing programmatic experiences, which encompass artist advance, contracting, artist payments, and liaising with relevant internal departments such as Production, Box Office, Marketing, PR, Multimedia, and Access. The emphasis will be on activations across the Center, particularly at the REACH Campus, Millennium Stage, and virtual offerings. The coordinator will also handle travel arrangements, hotel accommodations, ground transportation, and hospitality requirements for artists and departmental staff, ensuring the best possible rates and creating detailed itineraries. The position requires the coordinator to run the Millennium Stage as necessary and liaise directly with artists, technical crew, and ushers to execute day-of performance activities from load-in to load-out. Additionally, the coordinator will provide day-to-day administrative support for the Social Impact Department, which includes scheduling and organizing meetings, maintaining accurate notes, processing expense reimbursements and invoices, ordering office and show supplies, and guiding department interns. The coordinator will also communicate confirmed programming information to internal departments and assist with research and ideation for artists, themes, and concepts related to Public Programming. Attendance at live activations is encouraged whenever possible, and the coordinator will assist with budget tracking and payment processing as needed.

Responsibilities

  • Assist with planning and coordination of Social Impact programs and related activities.
  • Monitor implementation of programs to ensure timely delivery and adherence to budget.
  • Work with Social Impact staff to center anti-racist practices in project coordination.
  • Coordinate and line produce Social Impact programmatic experiences, including artist advance and contracting.
  • Liaise with internal departments for activations across the Center, focusing on the REACH Campus and Millennium Stage.
  • Coordinate travel, hotel accommodations, and hospitality for artists and staff.
  • Run Millennium Stage as necessary and execute day-of performance activities.
  • Provide administrative support for the Social Impact Department, including scheduling meetings and maintaining notes.
  • Communicate confirmed programming information to internal departments.
  • Research and assist in the implementation of artists, themes, and concepts for Public Programming.
  • Attend live activations whenever possible and assist with budget tracking.

Requirements

  • Two to three years of administrative experience in a performing arts venue.
  • Experience with artist services and contracts.
  • Proficient in Microsoft Office suite.
  • Ability to execute fast-paced and high-volume work independently.
