About the position

The University of Washington (UW) has an outstanding opportunity for a Program Coordinator in Surplus Warehouse Operations. This position is under the direction of the Program Support Supervisor for Auctions & Warehouse Operations and involves performing tasks associated with surplus warehouse operations, receiving, and auction sales. The role includes advising UW faculty and staff, government agencies, non-profit organizations, and the general public regarding policies and procedures for the disposal and acquisition of surplus property, ensuring compliance with University policies and procedures, and providing guidance on special handling procedures for laboratory equipment and hazardous materials when appropriate. The Program Coordinator will also be responsible for receiving, unpacking, sorting incoming property, inspecting for condition, quantity, and type, and ensuring proper labeling and disposition in the database. Additionally, the role involves conducting physical inventories, preparing auction listings, and providing direction to staff working in Receiving.

Responsibilities

  • Advise UW faculty and staff, government agencies, non-profit organizations, and the general public regarding surplus property policies and procedures.
  • Receive, unpack, and sort incoming property; load, unload, and distribute furniture, equipment, and materials.
  • Inspect incoming property for condition, quantity, and type against shipping documents and resolve discrepancies.
  • Make inventory tags and determine disposition of property; ensure proper labeling and database entry.
  • Identify hazardous materials and follow handling and disposal guidelines; coordinate recycling and waste pickup.
  • Conduct physical inventories and ongoing audits of Surplus inventory; prepare inventory reports.
  • Process Surplus Property request forms and advise faculty and staff on pending requests.
  • Determine appropriate storage locations and maintain warehouse arrangement for space utilization.
  • Safely operate material handling equipment, including forklifts, during property handling.
  • Prepare online auction listings, draft descriptions, photograph items, and research market values.
  • Conduct retail store sales of surplus property to various organizations and the public.
  • Provide direction and assignments to Moving and Surplus staff as needed.
  • Create, improve, and maintain program procedures; participate in organizational improvement programs.
  • Provide coverage for other Surplus Program Coordinators during absences and assist with special projects.

Requirements

  • High school graduation or equivalent AND two years of experience in auction coordination, warehouse operations, retail operations, materials management, or inventory management, or equivalent education/experience.
  • Excellent customer service skills.
  • Strong organizational and problem-solving skills.
  • Ability to maintain composure in a fast-paced, dynamic customer service environment.
  • Flexibility to meet changing business/customer needs.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to communicate clearly and effectively.

  • Demonstrated proficiency with Microsoft Office Suite and willingness to learn/use proprietary software.
  • Ability and willingness to learn/operate a forklift.
