About the position

The Program Coordinator at Villanova University plays a crucial role in ensuring a high-quality student experience throughout the entire lifecycle of professional education programs offered by the College of Professional Studies (CPS). This position is responsible for overseeing the implementation of CPS policies, procedures, and priorities under the supervision of the Director of Professional Education. The Program Coordinator must have a comprehensive understanding of the academic and operational requirements of the programs, including adherence to external guidelines set by professional organizations and other agencies. In this role, the Program Coordinator will continually assess the needs and interests of professional education students by staying updated on program trends, student feedback, and the latest technology relevant to the field of study. Daily responsibilities include managing program activities such as course communication plans, student registration, facilitating re-enrollment efforts, responding to student inquiries, and collecting student and enrollment data. The coordinator will also facilitate connections with university resources and offices, organize feedback forums, and participate in team meetings. Additionally, the Program Coordinator will assist with program and event planning, scheduling, and providing administrative support for professional education courses and staff as needed. Responsibilities

  • Manage and deliver communication plans from enrollment through course completion to students.
  • Respond to student and instructor questions/concerns, providing accurate information and problem resolution in a timely manner.
  • Serve as a liaison to campus-wide offices in support of students, such as the Career Center and Learning Support Services.
  • Collaborate with the Assistant Director of Professional Education on non-credit reporting regarding enrollment and student outcomes.
  • Stay current on industry trends and topics impacting program content and design, making suggestions for potential program improvements to the Director.
  • Complete registration for professional education program students upon acceptance and throughout their programs.
  • Work with the Director of Professional Education on processing drop/add and withdrawal of students as necessary.
  • Coordinate the distribution of course materials and ensure certificates and digital badges are awarded upon program completion.
  • Facilitate student retention and provide a personalized experience for every student, monitoring their progress and advising the Director on academic standing as needed.
  • Hold feedback forums to ensure student engagement and a positive experience.
  • Provide administrative support to the CPS Teaching & Learning team in the administration of professional education programs.
  • Support faculty members regarding student and course experience, coordinating academic communications to cohorts.
  • Maintain updated and accurate student and alumni records in systems of record for compliance reporting.
  • Assist with planning, coordinating, and facilitating events such as orientations and career workshops, and attend external association meetings as needed.
  • Perform additional duties and assist with special projects as assigned.

Requirements

  • Undergraduate degree required.
  • Minimum of two years of administrative experience in an academic and/or college/university setting.
  • Experience in Higher Education with an understanding of the needs of adult students.
  • Ability to develop and nurture relationships with students and creatively utilize university resources to meet their needs.
  • Knowledge of university resources and their adaptation to meet the needs of working professionals.
  • Ability to support instructors who have full-time employment elsewhere.
  • Excellent oral and written communication skills, strong organizational, problem-solving, and decision-making skills.
  • Demonstrated ability to work as a team player and manage multiple responsibilities in a fast-paced environment.
  • Results-oriented individual with the ability to anticipate and identify problems and opportunities.

Nice-to-haves

  • Experience with adult learners preferred.
