About the position

The Program Coordinator at the University of Washington Tacoma plays a crucial role in supporting the School of Engineering and Technology's graduate and undergraduate programs. This position requires independent judgment and decision-making while managing multiple projects simultaneously. The Program Coordinator is responsible for meeting time-sensitive deadlines, planning various events and activities, and maintaining frequent contact with faculty, students, staff, and the general public. The ideal candidate will possess excellent organizational skills, project management capabilities, and the ability to multi-task with a high degree of accuracy and attention to detail. They will work closely with program chairs to ensure accurate student data tracking and assist with the accreditation review process. The role also involves maintaining effective communication with prospective and current students, faculty, and community constituents, ensuring that all interactions are professional and efficient. In addition to supporting program activities, the Program Coordinator will assist with various administrative tasks, including managing student hiring processes, processing admission applications, and updating academic program information on the website. The position requires a self-motivated individual who can work independently and collaboratively within a team environment. The Program Coordinator will also be responsible for preparing meeting agendas, drafting minutes, and maintaining the program calendar. This role is essential for ensuring that the engineering and graduate programs run smoothly and effectively, contributing to the overall success of the University of Washington Tacoma's mission to provide quality education and community engagement.

Responsibilities

  • Support the engineering and graduate programs by managing various administrative tasks.
  • Collect agenda items, reserve rooms, and make Zoom arrangements for committee meetings.
  • Draft and distribute minutes for each meeting in a timely manner.
  • Maintain the Trumba calendar with program committee meeting information.
  • Ensure program information is accurate on the website in collaboration with other staff.
  • Assist with program-related events such as New Student Orientation and Thesis & Capstone Proposal Process.
  • Manage student data reports and conduct Qualtrics surveys for alumni.
  • Assist with the ABET accreditation process for academic programs.
  • Prepare necessary paperwork and process student hires for teaching and research support.
  • Serve as a point of contact for faculty regarding student hiring processes.
  • Process admission applications and communicate with applicants about missing documents.
  • Update academic program pages on the website and ensure all information is accurate.
  • Serve as backup for other Program Coordinators and assist with front desk operations.

Requirements

  • High school graduation or equivalent AND two years of experience in program support or student services.
  • Experience working with a diverse population.
  • Experience providing administrative support and executing office operations.
  • Excellent verbal and written communication skills with strong customer service orientation.
  • Strong organizational and time management skills with the ability to handle multiple projects accurately.
  • Self-motivated and resourceful in solving problems and answering inquiries.
  • Commitment to diversity and inclusion, with the ability to work with individuals from diverse backgrounds.
  • Experience with Microsoft Office suite, Adobe Pro, and performing intermediate software functions.
