About the position

The Program Coordinator position at Imagine! Mental Health and Behavioral Services is a full-time role based in Lafayette, CO, with a pay rate of $22.50 per hour. This position is crucial for managing daily administrative functions and clinic operations, ensuring that customer impact is considered in all decision-making processes. The Program Coordinator will be responsible for fulfilling various administrative duties, maintaining records and documentation, and providing support to the supervisor, manager, and other departmental staff. The role requires adherence to existing policies and procedures while also supporting new policies and programmatic changes, assisting in their implementation as necessary. As the point of contact for clients, families, and interdisciplinary teams, the Program Coordinator will monitor and report on data to ensure compliance with all applicable regulatory agencies. Building and maintaining professional relationships with all clients and stakeholders is essential. The position involves creating and maintaining various record-keeping systems, including monetary funds, audits, databases, and spreadsheets. The coordinator will also coordinate meetings, prepare agendas, reserve facilities, and record and transcribe minutes as needed. In addition to these responsibilities, the Program Coordinator will perform a wide variety of administrative and operational support activities. This includes composing routine correspondence, answering and screening telephone calls, organizing file systems, communicating with outside providers, compiling reports, coordinating schedules for psychiatrists, and preparing the office for clinic days. The role supports the administrative and strategic functions of the Mental Health and Behavioral department, requiring judgment and analysis in problem-solving and decision-making. The coordinator will also serve as a liaison to internal and external contacts, coordinating the intake process for new clients seeking mental health or behavioral services, and ensuring timely payment of invoices and accuracy of billing entries. Overall, the Program Coordinator plays a vital role in supporting Imagine!'s mission through both individual and collaborative work, actively participating in staff meetings and community representation while promoting team morale and professionalism.

Responsibilities

  • Manage daily administrative functions and clinic operations considering customer impact.
  • Fulfill various administrative duties and maintain records and documentation.
  • Provide support to the supervisor, manager, and other departmental staff.
  • Monitor and report on data to ensure compliance with regulatory agencies.
  • Create and maintain record-keeping systems including monetary funds, audits, and databases.
  • Coordinate, arrange, and attend meetings; prepare agendas and record minutes.
  • Compose routine correspondence including letters, emails, and faxes.
  • Answer and screen telephone calls and arrange conference calls or appointments.
  • Organize and maintain multiple file systems and communicate with outside providers.
  • Compile and prepare reports and coordinate psychiatrists' schedules.
  • Support administrative and strategic functions of the Mental Health and Behavioral department.
  • Serve as a liaison to internal and external contacts, coordinating the intake process for new clients.
  • Ensure timely payment of invoices and accuracy of billing entries.

Requirements

  • High school diploma or equivalent required; two years of college preferred.
  • Minimum of two years related experience in administrative roles.
  • General knowledge of the developmental disabilities system in Colorado preferred.
  • Effective written and verbal communication skills with individuals and groups.
  • Demonstrated organizational and time management skills.
  • Ability to work independently and prioritize tasks.
  • Proficiency in various technologies including word processing software and databases.
  • Effective problem-solving and negotiation skills.

  • Clerical, medical records, and/or terminology training preferred.
