About the position

The Program Coordinator at the Mecklenburg County YMCA is a vital role focused on promoting, administering, and leading the development and implementation of youth programs, while also assisting in adult programming as needed. This position requires a positive role model who can build strong relationships with participants, parents, and community members. The coordinator will be responsible for planning, coordinating, and supervising all program activities to ensure they align with YMCA objectives. This includes expanding youth sports and adult activity programs within the community, securing and scheduling athletic fields and facilities, and managing the logistics of program activities, including the transportation and setup of equipment. In addition to overseeing program activities, the Program Coordinator will create teams from registrations, organize parent orientation meetings, and conduct training sessions for staff, coaches, and volunteers. The role also involves developing and distributing schedules for practices and events, training sports officials, and ensuring that all necessary uniforms and equipment are purchased and distributed. The coordinator will also be involved in organizing clinics, trips, and special events, as well as assisting in fundraising activities for the YMCA. The Program Coordinator will play a key role in marketing and distributing information about youth sports and adult activity programs, reviewing scholarship applications, and maintaining collaborative relationships with community organizations. Responding to inquiries and complaints from staff, volunteers, members, and the community in a timely manner is also a critical aspect of this position. The coordinator will compile program statistics and reports, monitor program effectiveness, and manage department budgets. Additionally, the role includes recruiting and training program support staff and volunteers, ensuring compliance with regulations, and maintaining facilities and equipment. Overall, the Program Coordinator is essential in fostering a positive environment that promotes the YMCA's mission and values.

Responsibilities

  • Plans, coordinates, and supervises all program activities to meet YMCA objectives.
  • Secures and schedules athletic fields and facilities.
  • Transports and sets up equipment for activities; monitors and purchases necessary sporting equipment as budget permits.
  • Creates teams from paid and financially assisted registrations.
  • Organizes and conducts parent orientation meetings, trainings, and meetings for staff, coaches, instructors, and volunteers.
  • Develops and distributes activity practice and event schedules; trains and schedules sports officials; develops and distributes rules, guidelines, and handbooks.
  • Purchases and distributes uniforms, equipment and/or awards; coordinates and distributes team photographs.
  • Organizes and conducts clinics, trips, special activities, and events.
  • Assists in YMCA fundraising activities and special events.
  • Assists in the marketing and distribution of youth sports/adult activity program information.
  • Reviews and forwards program scholarship applications for processing.
  • Develops and maintains collaborative relationships with community organizations.
  • Responds to all staff, volunteer, members, and community inquiries/complaints in a timely manner.
  • Compiles program statistics/data/reports; monitors and evaluates the effectiveness of programs and instructors/volunteers/coaches.
  • Develops and controls department budgets related to the position.
  • Recruits and trains program support staff and volunteers.
  • Facilitates communication and provides leadership amongst staff, volunteers, and membership.
  • Assures compliance with state and local regulations; ensures that program standards are met and safety procedures are followed.

Requirements

  • Associates degree in related field or equivalent.
  • Experience with youth programs is a plus.
  • Demonstrated ability in human relations, verbal skills, and written communication skills.
  • Excellent interpersonal skills; good PC skills including Word, Excel, and PowerPoint.
  • Ability to direct/coordinate programs through supervision of volunteers and staff.
