About the position

Join the HJF Team! HJF is seeking a Program Coordinator to coordinate budget and accounting, space management, personnel management, overall management, contracts, and purchasing. This position will be in support of the USU Portfolio, focused on providing administrative support to the HJF Vice President, USU Operations. The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

Responsibilities

  • Maintains supervisors' calendar and coordinates various staff meetings and events.
  • Plans and coordinates large meetings. Ensures the presenter is provided with relevant information and all logistical and technical preparations have been made for the presentation.
  • Drafts and proofreads letters and PowerPoint presentations on behalf of the VP, USU Portfolio.
  • Provides excellent customer service and professionally written communications with health research partners and customers. Responsive; Answers questions and provides information to internal and external partners in a timely fashion as needed and appropriate.
  • Attends key meetings to take minutes.
  • Maintains and disseminates award procedures and policies to clients and HJF staff.
  • Coordinates staff travel for USU Portfolio team members.
  • Assists with initiating, organizing, and completing department projects.
  • Manages Portfolio credit card expense reconciliations.
  • Orders and maintains department office supplies.
  • Completes all required training in a timely fashion.
  • Performs other duties as assigned.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite, particularly Word and PowerPoint.
  • Experience in administrative support roles, preferably in a nonprofit or military environment.

Nice-to-haves

  • Familiarity with budget management and accounting processes.
  • Experience with event planning and coordination.
  • Knowledge of military medicine or related fields.
