About the position

The Program Coordinator at RUSH University Medical Center plays a crucial role in coordinating activities and functions of designated programs to ensure that the goals and objectives are met in accordance with established priorities, time limitations, and funding constraints. This position is integral to the implementation of new programs and services, providing active support for daily operations and activities. The coordinator will work closely with local organizations and in-house staff to ensure that the programs offered are of the highest quality, aligning with the mission, vision, and values of Rush University Medical Center. In this role, the Program Coordinator will develop and schedule program work plans, oversee daily operations, and coordinate activities to ensure optimum efficiency and compliance with policies and procedures. The coordinator will prepare periodic reports, financial statements, and records on program activities, progress, and status for management and outside agencies. Additionally, the coordinator will lead multiple workgroup initiatives related to education, healthcare, economic vitality, and the built environment, ensuring that all initiatives are aligned with the program's goals. The position also involves developing program metrics and evaluation methods, recommending and monitoring program budgets, and ensuring compliance with fiscal reporting and contracts. The Program Coordinator will set agendas for committees and workgroups, develop and maintain contacts with stakeholders, and conduct presentations for the community and other institutions. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively, all while working under tight deadlines.

Responsibilities

  • Develops and schedules program work plan in accordance with specifications and funding limitations; oversees daily operations and coordinates activities of program; determines priorities.
  • Coordinates activities of program with inter-related activities of other programs, departments or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
  • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
  • Leads multiple workgroups initiatives, including those related to education, health/healthcare, economic vitality, neighborhood (built) environment, etc.
  • Responsible for implementing program, annual, and long-range plans.
  • Assists in developing program metrics and evaluation methods.
  • Recommends, develops, and monitors program budgets.
  • Monitors program to assure programmatic reporting and fiscal compliance of contracts, annual, and long-range plans.
  • May provide programmatic input in fundraising strategies.
  • Sets agendas for committees and work groups as required to support programs.
  • Develops and maintains contacts with internal and external stakeholders relating to program needs.
  • Develops and conducts presentations for the community, institutions and other stakeholders in line with programmatic areas of oversight.
  • Prepares, modifies, and files reports and documentation as necessary, including daily summaries of activities and incidents, post-program overviews, recommendations for future services, and analysis of overall program effectiveness.
  • Perform other related duties as assigned.

Requirements

  • Bachelor's degree in a relevant field.
  • 2 years of administrative or program coordination experience.
  • Strong organizational skills with attention to detail and multitasking abilities.
  • Clear and concise verbal and written communication skills.
  • Proficiency with the Microsoft Office Suite.
  • Ability to collect, organize, interpret, and summarize information.
  • Strong critical thinking skills to solve problems and make decisions.
